Job Description

Administrative Assistant, Department of Medical Physics, Radiotherapy Physics Service

The Administrative Assistant in the Department of Medical Physics will provide administrative and clerical support to the Radiotherapy Physics Service and other sections as needed. Under supervision, process assigned tasks within projected timelines, schedule meetings and distribute information, utilize office automation to create memos, reports and business correspondence. He/She will maintain departmental files and help in the overall workflow within the department.

You will:
+ Prepare, proof-read and process documents for approval and/or distribution utilizing office automation (Microsoft Office Suite - Word, Excel, PowerPoint)
+ Create, manage and maintain neat, organized, accurate and up-to-date filing systems for academic and administrative office
+ Track expenses of faculty and staff; process payments and reimbursements. Assist with scheduling and making travel arrangements, meetings and other tasks delegated by the Director and Operations Manager
+ Perform various clerical duties to contribute to the smooth operations of the Department's administrative office in support of faculty and staff. Provide clerical support to the Radiotherapy Physics Service. Manage Service Chief's calendar and schedule meetings as assigned
+ Assist Service Chief on special projects to complete such tasks as typing, copying and distributing correspondence/paperwork and filing
+ Prepare purchase requisitions, work orders and process invoices for payment
+ Gather information and perform data entry in timekeeping, payroll systems and Qgenda
+ Coordinate new employee team-specific orientation
+ Create and distribute email communications including notifications, announcements and invitations
+ Work Hours: Monday-Friday; 9:00am-5:00pm
You have:
+ High School Diploma required, Bachelor's degree preferred
+ Proficiency in Microsoft Office - Word, Excel, PowerPoint
+ Ability to multitask in a high-volume office
+ Must be able to work independently under general supervision
+ Excellent written and oral communication skills#LI-POST
