    • Provides administrative and secretarial support to a manager, a department, and/or other departmental professionals.
  • Minimum Qualifications
    • Education/Training
      • High school graduation or equivalent; secretarial courses/training.
    •  
    • Experience
      • 4 years secretarial experience.
    •  
    • License/Certification/Registration
      • No special certification, registration or licensure is required.

    • Knowledge, Skills & Abilities
      • Excellent typing skills. Working knowledge of various computer software applications, including word processing. Excellent verbal and written communication skills.
  • Primary Duties and Responsibilities
    • Answers telephones, screens calls, handles inquiries, and provides general information. Receives, greets, assists, and directs associates, interns, residents, and visitors to appropriate staff members.
    • Assists in care and maintenance of departmental equipment and supplies. Reviews orders of supplies from other members of the department. Acts as liaison with Purchasing Department.
    • Assists with development and preparation of various reports and schedules under the direction of the supervisor. Coordinates adherence to deadlines and completion of special projects, correspondence, and reports.
    • Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards, and safety standards. Complies with governmental and accreditation regulation.
    • Coordinates all arrangements for conferences and committee meetings including scheduling the room, notifying the participants, ensuring that necessary equipment is available and ordering refreshments.
    • Ensures smooth office operations by evaluating, reorganizing, and delegating duties to clerical staff in a manner to best serve the needs of the supervisor and/or department.
    • Maintains appointment calendar of supervisor and schedules meetings with as requested. Makes travel arrangements when applicable.
    • Maintains files for the supervisor and any applicable division files. Organizes and retrieves information on an ongoing basis. Attends designated committee/management meetings and takes minutes. Distributes correspondence and handles follow up related to the meetings as required.
    • Performs other duties as assigned.
    • Provides research and administrative support to special projects. Prepares data on projects and studies such as updating procedure manuals or analyzing department activities.
    • Reviews, prioritizes, and distributes interoffice and external mail.
    • Serves as secretary performing clerical duties including transcribing, preparing correspondence, and maintaining confidential records; assists departmental professionals in the functions of the department.
