Job Description

Summary

The UM Project Coordinator is responsible for coordinating initiatives and process improvement projects, both within the UM department and collaboratively with other operational departments. Under the supervision of the UM Project Manager, the UM Project Coordinator will be responsible to support strategic initiatives, assigning and tracking individual responsibilities and project resources, and developing a project schedule and setting deadlines. This position is primarily responsible for effective planning, managing, and implementation of highly visible projects that will improve enterprise infrastructure and promote change and improvement.

 

Duties & Responsibilities

·        Coordinate process-improvement projects in UM, as well as cross-departmental in support of UM strategic efforts

·        Organize, attend, and participate in meetings including the following:

o   Schedule meetings (Confirm the necessary stakeholders are invited)

o   Prepare Agenda and necessary presentation materials

o   Manage and distribute meeting minutes to all project team members

o   Document and follow up on all action items and decisions

·        Create and maintain project management tracker/calendar to fulfill each project goal and objective

·        Monitor the creation of all project deliverables to ensure adherence to quality standards, including document design, training materials, and operating policies

·        Provide frequent, detailed communication to business owners on project development and status

·        Assess and communicate project risks/issues and provide solutions where applicable

·        Establish and/or revise existing UM standard operating procedures and workflows as dictated by project development

·        Research, gather, and analyze data to prepare reports for review and action by UM Leadership

·        Research and build the knowledge base for UM initiatives by pursuing self-study in areas regarding best practices, regulatory compliance, and operational improvements that could benefit own role, as well as UM operations

·        Undertake other project tasks and responsibilities as required

Minimum Job Requirements

·        High School Diploma (Bachelor’s degree preferred)

·        Proficient in using Microsoft Excel, PowerPoint, and Word

·        2+ years of experience in a clinical care setting or utilization management

·        2+ years of project-based work experience preferred

·        Experience working with EZCAP, Smartsheet and Tableau is preferred

·        Experience with writing formal documents and policies is a plus

·        Excellent communication & writing skills

·        Work effectively and resourcefully, under minimal supervision

·        Strong planning, analytical, and organizational skills

·        Generate, interpret, and summarize ad hoc reports

·        Works well both independently and as part of a team

·        Tenacious and passionate about problem-solving

·        Willingness to take on and lead projects outside the normal scope of the UM department
