The Event Production Associate plays a crucial role in the successful execution of various events. Reporting to the Director, Learning and Development, this role will partner to assist with the planning, coordination, and production of events for Meals on Wheels America. The events include, but are not limited to, the Meals on Wheels Annual Conference and Expo, the annual Volunteer Symposium, the annual Driving Impact Summit, and other learning events (virtual and in-person, and internal and external audiences) that advance key organizational priorities. The Event Production Associate provides project management support to ensure that events are well-planned and well-executed. This position requires a detail-oriented and organized individual who can manage multiple projects simultaneously, communicate frequently and proactively, and thrive in a fast-paced environment.

The position is an Arlington, VA based, flexible hybrid working role.


  • Provide staff support for events such as the Meals on Wheels Annual Conference & Expo. This includes pre-event activities, such as assisting with aspects of session planning, scheduling meetings with session content creators, managing deadlines, gathering speaker bios and session descriptions, session materials and supplies, updating content on the Conference website, and assisting with printing/packing/shipping as well as providing on-site session set up assistance and support, such as concurrent session material prep, staging and troubleshooting.
  • Support production of events/webinar/training sessions using virtual platforms such as Zoom and MS Teams. This includes activities such as facilitating aspects of event planning, oversight for the registration process, scheduling and conducting dry runs with speakers, uploading and/or screensharing session materials, problem-solving technical challenges, providing back-end support for attendee engagement activities, such as polls, Menti, whiteboarding, etc., and, supporting post-production activities such as video editing and evaluation analysis and reporting.
  • Assist with community management for the Meals on Wheels on-line community, this includes activities such as moderating online discussions, creating engaging content, reviewing data and insights, and responding to member comments and feedback.
  • Schedule necessary project team meetings or sub-meetings, develop and distribute the meeting agenda, support facilitation, note taking and documenting actionable items.
  • Assist with work plans and track milestones and timelines for multiple learning events and Conference simultaneously.
  • Contribute ideas to event production.


  • Two to five years similar or related work experience.
  • Proficiency in the full Microsoft Suite, frequent/daily use of Outlook, Teams, SharePoint, Excel, PowerPoint, and Word.
  • Knowledge of virtual meeting and training platforms such as Zoom and Microsoft Teams.
  • Strong collaboration, time management, communication, interpersonal, and organizational skills.
  • Experience producing and/or delivering both virtual and on-site events such as webinars, online trainings, workshops, conferences, etc.
  • Prior Project Management experience.
  • Video and Audio editing experience is a plus.
