SUMMARY

Experience in employee assistance programs, administrative duties, case management, and clinical service delivery is strongly preferred. This position is confidential, administrative and clinical work centered on activities associated with providing employees, outside vendors, and internal clients with information, referral, and other administrative assistance. The incumbent will be responsible for greeting patients on the phone and in person, updating records, maintaining various office calendars and performing clerical and clinical duties. Facilitating the smooth running of EAP and support the delivery of quality patient care. Individuals in this position work in terms of meeting overall objectives and proceeds independently on performing recurring duties, with general guidance and direction from the Manager of Employee Assistance Program.

ESSENTIAL FUNCTIONS

• Assist with intake assessment, screening, and scheduling clients in person or by telephone.
• Provide intake, assessment, referral, and short-term counseling to employees and their household members with personal, work-related, or career issues. Maintain confidential records for each client, and maintain ongoing case management and follow up.
• File, archive and manage electronic and paper client records.
• Maintain an updated referral resource guide.
• Assist in the development and presentations facilitated by EAP (i.e. EAP: A Management Resource, Reasonable Suspicion, substance abuse education group, etc.)
• Respond to requests for department interventions, in consultation with the EAP Manager and Chief Medical Officer.
• Knowledge of FTA/DOT regulations as it relates to the transportation industry and drug and alcohol testing requirements.
• General knowledge of office practices and procedures.
• Ability to balance workload demands, accomplish administrative assignments, and meet priorities and deadlines.
• Greets all patients and visitors in the reception area.
• Ability to deal calmly, decisively, and in an organized way with different patient/customer demands and issues.
• Ability to communicate effectively at all levels of the organization, both orally and in writing.
• Ensures that inquires and calls are handled professionally, efficiently, and effectively in accord with established policies, procedures, and practices.
• Demonstrated professionalism in customer service delivery protocols.
• Ability to handle multiple tasks under pressure and deliver high-quality customer service in a front office setting.
• Prepares routine correspondence based on established templates for EAP clinicians and EAP Manager to review and sign.
• Assists with data collection, entry, and related administrative duties.
• Skill in using the phone, e-fax, and computer systems and other standard business equipment and systems.
• Proficient in Microsoft Office Suite and electronic data entry.
• Maintain and manage patient records.
• Patient Intake, sign-in, Patient Discharge, sign-out and document patient record appropriately
• Review/Place/File medical documentation in the appropriate chart for EAP Clinician and EAP Manager’s evaluation
• Files charts in alphabetical order in the file room as needed
• Organize and evaluate medical records for completeness and accuracy
• Prepare daily reports in accordance with established SOPs/WIs
• Consult supervisor, team members, and appropriate resources to solve health information questions
• Receive incoming correspondence and review/forward to appropriate staff
• Communicate with EAP staff, health care team members and departments
• Perform a variety of administrative duties included but not limited to: answering phones; e-fax and filing of confidential documents; basic Internet and email utilization; and computer applications
OTHER FUNCTIONS

• A Master’s Degree in Social Work, Counselor Education, Counseling and Guidance, Psychology, or related behavioral sciences.
• At least 2 years of work experience in general counseling under professional supervision, including specific experience in drug/alcohol counseling, is required.
• Must be familiar with the development and implementation of brief counseling and solution-focused treatment plans, group process, career guidance and planning, and systemic change.
• Must be able to establish a climate of trust and communicate effectively with a broad range of employees, managers, and administrators from diverse social, cultural, and economic backgrounds and levels of responsibility.
• Must be familiar with crisis intervention, referral techniques, and effective means of accessing community resources.
• Must be able to make successful referrals for needed assistance beyond EAP.
• Must have good written and oral communication.
• Computer skills including Microsoft Word, Excel, PowerPoint and Outlook.
• Optimizes patients' satisfaction, along with with EAP Clinicians, Manager and EAP staff.
• Categories and sorts record and detects differences or similarities in information or situations.
• Complies with HIPAA guidelines and keeps abreast with HIPAA updates.
• Conducts chart reviews
• Ensures paperwork and time stamping is included in the medical form/documentation
• Evaluates relevant information to determine whether events or processes comply with laws, regulations, or standards.
• Gathers employee records, filing them in the appropriate locations and ensuring their secure storage and handling.
• Learns the Standard Operating Procedures for current/new work activities.
• Pulls charts and relevant information as requested in response to grievances, arbitrations.
• Records and maintains information in written or electronic form.
• Uses electronic medical records systems to maintain charts.
• Restock front desk supplies as needed
• Maintain a clean and clutter-free front desk environment
