Role Summary

The Senior Payroll Analyst is responsible for the preparation and processing of a complex multistate payroll. Working with a variety of nonintegrated systems and processes throughout various time zones. Works with and leads employee groups and corporate entities/FEIN’s. Must have acute attention to detail, ability to multitask effectively and work within strict deadlines.

Researches and advises payroll staff concerning the accounting of complex transactions. Performs periodic internal audits of various payroll areas and prepare materials for external or internal auditors. Performs payroll Accounting; is the back up to the Payroll Supervisor.

Primary Duties & Responsibilities

  • Manage all payroll adjustments and other submissions received. Validate completeness and accuracy of request to ensure compliance with payroll practices, policies and procedures.
  • Enter employee maintenance items; validate set up against known hierarchy for pay entity or employee group. Post audit changes, run validation reports and submit for additional cross audits. Work closely and oversees Payroll Analysts to ensure that all maintenance is entered timely and accurately.
  • Process payroll according to established deadlines and timelines. Reports delays or technical concerns impacting payroll to leadership. . Follow up until the issue is resolved and the payroll run is approved and finalized.
  • Evaluate approved timecards for various groups, Balance timecards against time system reports. Question and proactively resolve exceptions.
  • Ensures new processes and work aids are documented appropriately. Actively works to improve and streamline processes to increase accuracy and efficiency.
  • Aptitude to learn and implement new technology to streamline processes while working with IT.
  • Understanding of multi-state payroll regulations to ensure payroll compliance. Understanding of laws regarding wage attachments and payroll deductions, direct deposit and employee consent and confidentiality.
  • Understanding of various Collective Bargaining Agreements and their alignment with payroll calculations processes and best practices.
  • Query and create new reports from various systems to analyze payroll data along with employee Masterfile, organizational and employee lists etc. Periodically review data to ensure alignment of data prior to the preparation of various SOX reporting. Runs reports to satisfy a variety of requests for data.
  • Fosters and builds credible working relationships with business partners at all locations, particularly Human Resources, Benefits, IT, Accounting, Crewing and the Executive Staff and their supports.
  • Special projects and due diligence as determined by business need.
  • Prepare monthly account reconciliations to ensure all payroll financial activities have been recorded accurately and timely in preparation for internal and external audits to meet required standards.

Technical Requirements/Competencies

  • To perform this job successfully, an individual should have knowledge of Database software; mastered skills of Outlook email and calendars. Exhibit skill, comfort and agility in working with spreadsheets to create, maintain and track data.

Qualifications, Education, & Experience

  • Bachelor’s degree preferred in accounting, finance or business major, or the equivalent of 5-7 years education and relevant work experience a related field.
