PURPOSE

Provides advanced legal, administrative, and technical support to the Executive Assistant to the CEO and the Executive Staff.

 

ESSENTIAL FUNCTIONS OF THE POSITION

1.     Provides advanced administrative support to the CEO’s office in a variety of capacities and areas as needed.

2.     Assists the Executive Assistant to the CEO and Executive Staff on a variety of administrative and technical matters.

3.     May attend and support various executive management meetings, functions, and/or events regarding various confidential issues.

4.     May facilitate communication for executive management team with members, employees and outside agencies as needed.

5.     Provides support for the MEA Charitable Foundation in various functions and duties.

6.     May be responsible for reconciling monthly credit cards for executive staff.

7.     Prepares for Board of Director meetings to include meeting set up.

8.     Schedule the use of various Association facilities, conference rooms, etc.

9.     Coordinate, make, and prepare travel arrangements for various events for executive staff.

10.  Conducts research and prepares reports and/or presentations as needed.

11.  Produce and prepare various correspondence.

12.  Interfaces with executive management in a professional manner.

13.  May perform advanced accounting and contract administration support functions.

14.  Performs other duties as assigned.

ESSENTIAL POSITION REQUIREMENTS

  • Qualified candidates are required to have:

-     An associate degree or equivalent relevant experience.

-     Five (5) years of relevant Advanced experience. 

  • Qualified candidates must have a valid driver’s license and a driving record, which is acceptable by the Association’s Driving Policy and insurable by the Association and the Association’s insurance carrier at standard group rates.
  • Preference may be given to those candidates with:

-     A bachelor’s degree in related field.

-     Experience working with confidential information.

-     Advanced experience in Microsoft Office Suite.

-     A Microsoft Office Suite certification or other relevant certification.

 

KNOWLEDGE, SKILLS AND ABILITIES

·         Advanced knowledge and skill in standard administrative procedures and legal office techniques, procedures, and processes.

·         Advanced knowledge and skill in Microsoft Windows environment, to include Microsoft Office Suite or other relevant software.

·         Knowledge of project management principles.

·         Knowledge and effective skill in organization, coordination, and effective prioritization skills.

·         Knowledge of videoconferencing or other virtual functions.

·         Advanced skill in organizational management.

·         Advanced analytical skills, including proficiency in composing spreadsheets, charts, and graphs, which correctly capture data.

·         Advanced skill in writing, editing,  proofreading, spelling, punctuation, etc., consistent with executive expectations.

·         Advanced skill in attention for detail.

·         Skill in effective and professional verbal and written communication.

·         Skill in writing concise summaries of meetings.

·         Skill in identifying problems, collecting data, establishing facts, and drawing valid conclusions.  

·         Skill in analyzing processes for efficiency and make recommendations for improvements.

·         Ability to establish and maintain professional relationships consistent with executive expectations.

·         Ability to maintain a high degree of confidentiality and communicate professionally.

·         Ability to exercise exceptional judgment and discretion.

·         Ability to effectively lead activities for assigned projects.

·         Ability to solve problems and seek solutions to challenges.

·         Ability to interpret and explain policies.
