Massachusetts Horticultural Society seeks an effective and energetic senior sales associate to extend the growth of our internal and external events and functions. The role holder will be flexible and adaptive, thriving in a varied role that includes sales, team co-ordination and event management. We have a clear theory of change and strategy based on the evidence that horticultural programs provide cost effective solutions to societal and individual needs including community cohesion, workforce development, therapeutic and addiction support, as well as improving our communities through climate and storm mitigation, urban greening and food network resilience.


Our programs are currently centered in and around our beautiful 36-acre Botanic Garden in Wellesley, Elm Bank, which also functions as our staff headquarters. This position is responsible for maintaining and developing our wedding/function rental sales of around $1mill/year and for day-to-day events support of our major public events attracting an expected 50,000 guests/year.

Key Responsibilities

Sales Associate – Approximately 65% of workload

  • Work to support and assist the event sales team in soliciting, booking, and executing successful events
  • Provide exceptional customer service when working with clients from their initial inquiry, to event execution.
  • Establish, cultivate, and maintain positive client relationships through kindness, support and understanding of their needs.
  • Apply excellent time management skills to prioritize the daily needs of the business
  • Must understand timing constraints for clients by providing timely follow-up and thorough
  • Manage and maintain detailed account, contact, revenue reporting, and event booking details. Must be able to process payments through designated systems and share records internally and
  • Must maintain procedural All systems executed and used efficiently and steadily, including our templated planning platform.
  • Familiarize with all on-site policies and procedures to ensure clients are informed of general event operations and inclusions within their Must be able to enforce policies in a polite and confident manner.
  • Host and attend industry and other networking events to provide exposure, promote the business, and educate industry professionals about our ever changing property.
  • Communicate with internal teams in planning and executing of event requirements
  • Foster an environment of openness and collaboration within the organization, and externally with clients, and vendors.
  • Assist with set up and break down as necessary including moving, lifting, storing, chairs, tables, and related items.


Event Management – Approximately 25% of workload


  • Function as the senior on-site event manager for around 20 weddings per year typically Fri/Sat/Sun
  • Function as the on-site event manager for major MHS public events and festivals (Tulip Mania; Flower Shows, Festival of Trees, etc)


Team Coordination – Approximately 10% of workload

The senior associate role has additional administrative and leadership responsibilities in coordinating documentation, procedural work and communication with the Guest Experience and Functions Manager. The role holder is encouraged to use their initiative to solve problems as they arise and to fully coordinate team efforts in all routine work aspects.

  • Proactively lead communication and coordination between the Guest Experience Functions Manager and the whole events and functions team ensuring a regular and consistent two-way flow of information for decision making in all areas of the business
  • Be the central holder and reviser of documentation, contracts, policies and training relating to the events and functions team, recommending revisions and updates as needed and working directly with vendors to implement updates. Coordinate such work among appropriate team
  • Review rental rates and stay current with competing venues and industry Make recommendations for adjustments as necessary. Recommend and track budget goals.
  • Comprehend and maintain compliance with all applicable food and beverage laws and safety regulations. Enforce these regulations with staff, vendors, and clients and report to senior
  • Train or allocate training to appropriate staff for all new hires, maintaining a training guide including history, policies and procedures, information specific to buildings and grounds operations, security, and alarm systems. Report any breaches of those policies.
  • Co-ordinate efforts of events team to create, design and distribute all marketing materials, both digital and print for the department in partnership with the Marketing Department
  • Coordinate with marketing on social media for the Events Department. This includes gaining permission from clients and photographers, generating posts with a variety of photographs to appeal to our diverse clientele.
  • Oversee team members as they create, maintain and revise Vendor Collection including exclusive caterers, liquor supplier, and tent vendors for the property.
  • Manage and distribute the internal calendar for Massachusetts Horticultural Society including all private, internal, education, and public events.

Schedule and Hours


This is a year-round, full-time position with the flexibility to tailor days based on weekend event schedule. MHS may consider this role at 30-40 hours per week for an exceptional candidate. During the off-season some working from home is likely to be possible by agreement.


Compensation and Benefits


The Compensation range for this position is $28-31/hour based on experience, fit and ability to have an immediate impact. Full-time positions include comprehensive benefits.
