Effective September 27, 2021, all Martha's Table employees, interns, subcontractors, and volunteers are required to be fully vaccinated against COVID-19 (which includes a booster shot) or undergo weekly testing. POSITION DUTIES & RESPONSIBILITIES
Reporting directly to the CEO, the Executive Assistant provides day-to-day administrative support to the CEO and the Vice President and Chief of Staff, (VP, COS) and serves as an internal and external liaison for the Office of the Executive. The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission driven, results-driven and community oriented.
The ideal individual exercises sound judgment and is able to manage sensitive matters with a high level of confidentiality and discretion; is organized with a proven ability to effectively prioritize and manage multiple priorities; has strong written and verbal communication skills; and is a proactive problem-solver and highly dependable.
EXPERIENCE, KNOWLEDGE, AND SKILL REQUIREMENTS
Requires demonstrated ability to:
- Organize and maintain complex calendars and schedules for the President and CEO, as well as the VP, COS. Develop detailed, accurate, and timely briefing materials and draft reports. Research, compile, and review relevant information in advance, as needed.
- Provide meeting logistical support, including, but not limited to:
- communicating reminders and follow-up correspondence with attendees,
- developing agendas, documents, and presentation materials,
- note-taking, and
- catering and tech/room set-up.
- Coordinate key internal and external initiatives, including, but not limited to, managing team celebrations and purchasing materials/swag.
- Maintain files (electronic and hard copy); prepare expense reports, reconcile purchases and reimbursement requests; manage travel arrangements; and monitor, refer, and coordinate responses to the organization's general information inbox
- Serve as liaison between the Office of the Executive, Senior Team, and Board of Directors, as needed, including drafting and preparing correspondence for internal announcements, board meetings, and external organizations.

EDUCATION AND TRAINING REQUIREMENTS
- 5-10 years of experience supporting C-level executives, preferably in a nonprofit organization.
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media web platforms.
- High School diploma, bachelor's degree (preferred)
- Exceptional interpersonal skills and demonstrated ability to engage with a range of internal and external stakeholders (team members, neighbors and guests, partnership organizations, government and elected officials, Board members, and donors). Embodies and serves as a model for "white glove service" and our organization's core values.
- Excel and thrive in a fast-paced environment through top-notch organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with minimal guidance and excellent attention to detail.
- Emotional maturity with impeccable degree of dependability, trustworthiness, and discretion, especially regarding highly sensitive/confidential materials and information.
- Exceptional verbal and written communication skills.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability

WORKING CONDITIONS
- While performing the duties of this job, the employee is frequently required to stand, walk, sit, use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop; kneel; talk or hear; taste or smell. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
