Overview

We’re seeking a self-starting, service-oriented human resources champion with at least three years of general HR and benefits administration experience to join our progressive and global Human Resources (People) department.

Reporting to the People Manager, this newly created position will work on a broad range of human resources functions, such as benefits/HRIS administration, employee onboarding/offboarding, performance and program management, and People Team membership. In this role, you will act as a true partner to the business and a brand advocate for our employee experiences and our culture. You will work closely with different functions, with the shared vision of steering the agency forward. You must be comfortable working cross-functionally and exerting influence without authority. The person in this role will have the opportunity to make a significant impact on the agency by working closely with our employees, job applicants, brokers, carriers and accounting/payroll department to deliver a best-in-class experience for all. The ideal candidate will care as much about the well-being of their co-workers as they do about compliance and the total employee experience. This role requires not only strategy development, internal program design and change management experience, but also comfort in experimenting with new ideas in a rapidly changing environment. Overall, demonstrate empathetic servant leadership and accuracy in work.

How You Will Make a Difference

  • Facilitate all new employee benefit enrollment activities – provide new employees with the necessary and compliant plan details and conduct the benefits orientation. Follow up to make sure employees have completed their elections within the allotted time frame.
  • Be our resident benefits and HCM subject matter expert. Respond quickly and empathetically to employee questions, concerns or problems as they relate to any of the agency’s benefits and payroll/HR software. Be an advocate for your co-worker!
  • Maintain employee privacy and confidentiality – comply with HIPAA (this is a deal-breaker).
  • Review and reconcile monthly billing and reporting for accuracy. Work with our broker, carriers and payroll to promptly correct any inaccuracies.
  • Conduct all new-hire onboarding activities, from setting up employees in our software to facilitating all orientation and new-hire training activities.
  • Make/enter miscellaneous employee changes into agency’s HCM software (e.g., title, reporting, department changes). Maintain organizational chart.
  • Under direction of the People Manager, review and update agency policies, procedures and handbook, as necessary.
  • Review and process leave of absence requests and unemployment claims in accordance with government guidelines.
  • Assist with compliance, reporting and required filings. Be sure all filings are accurate and timely. Compile, analyze and prepare data for annual audits.

• Provide backup recruitment support to our Senior Talent Manager. Source and schedule candidates for interviews, as needed.

• Provide backup support to our Senior Equity and Inclusion Manager; help to create a work environment that prioritizes diversity, equity, inclusion and belonging (DEIB).

• Provide some administrative support to the People Team, such as note taking, meeting coordination and scheduling, and training assistance.

• Demonstrate attention to detail and accuracy, as well as excellent written and verbal communication skills.

Qualifications

• Three or more years’ experience in benefits and/or human resources administration. Strong background working with all types of employee benefit plans including medical, HSA, dental, life, LTD, COBRA, FMLA and 401(k) plans.

• Bachelor’s degree in human resources, business or another related field.

• Solid knowledge of all applicable federal and state regulations, filing and compliance requirements related to employee benefit programs and employment. This includes HIPAA, ERISA, ADA, Section 125, COBRA, FMLA, ACA, Social Security/unemployment and DOL requirements.

• Exceptional time and project management skills – great at prioritization and juggling of duties while maintaining a high sense of urgency.

• Excellent proficiency with payroll/HCM software and a strong understanding of emerging HR and business operational technology tools and platforms. Experience working with applicant tracking systems (ATS) is a plus.
