Job Description

As an Administrative Assistant, you will be responsible for coordinating department resources including directing office remodels and personnel moves, entering work order requests, and overseeing maintenance for department area and conference rooms. In this role, you will maintain office area efficiency, create, and distribute communication supporting the intranet and collaboration sites as well as the virtual environment. You will prepare reports and agendas that may require compiling and formatting data from multiple sources and composing replies to correspondence. You will arrange appointments and travel reservations and process expense reports. Additional responsibilities will include making routine purchases within prescribed guidelines and provide area-specific support.

 

Responsibilities and Tasks

Coordinate Department Resources

· Coordinate and manage schedules for assigned leadership

· Enter work order requests

· Coordinate office remodels and personnel moves

· Schedule resources online (rooms, conference bridges, teleconference, video,

telepresence, etc..)

· Oversee maintenance for department area and conference rooms

· Schedule security access for visitors

· Update team member information on intranet

· Manage department record retention

· Schedule catering orders

Maintain Office Area Efficiency

· Assign and maintain area mailboxes, cubicles and offices

· Distribute mail and packages

· Arrange and track package shipments

· Schedule maintenance and repairs for area office equipment

· Act as proxy for area supervisors and managers

Create and Distribute Communication

· Answer telephones and route calls and messages

· Respond to management and team member inquiries

· Support virtual environment

· Assist with meetings (e.g., logistics, minutes)

· Support intranet and collaboration sites

· Manage and correspond with internal and external contacts

· Create and distribute area reports

· Create, edit, and distribute department information

Order Supplies

· Order office and equipment supplies

· Order business cards and corporate credit cards

· Order pagers, telephones, and other electronic devices

· Manage company related purchases

· Manage and maintain office equipment and supply inventory

Coordinate Travel and Expenses

· Schedule travel

· Process expense reports

· Process visa and passports requests

Provide Area Support

· Provide back-up to other administrative assistants

Ensure a Safe, Compliant, and Ethical Work Environment

· Maintain knowledge of and apply company safety, labor, and ethics policies

· Communicate requirements to applicable team members and external stakeholders

· Identify and report potential safety and security issues

Education

Required

Associates Degree

· General Studies

Desired

Bachelors Degree

· Business

Business Administration/Management

Related field of study

Experience

Required

3 years experience in any of the following:

· Business

· Executive Administrative Support
