OPERATIONS MANAGER

MANNA DISTRIBUTORS, INC.

POSITION SUMMARY

The Operations Manager is a key role at Manna Distributors. The Operations Manager is responsible for coordinating all of Manna’s work. This includes delivering, installing, and servicing residential appliances, foodservice equipment, and commercial laundry equipment. The Operations Manager is also responsible for other key activities: facilities management, people management, and profit and loss management. The Operations Manager has the following principal responsibilities: warehousing, logistics, project management, facilities management, managing budgets, service billing, systems design and implementation, managing crews, hiring and firing, and learning and organizational development.

The Operations Manager is accountable for delivering high levels of customer satisfaction while maintaining budgets. He/she achieves these goals by ensuring the following: maintaining high levels of quality, meeting deadlines, and by managing labor and resources effectively.

The Operations Manager reports directly to the President. He/she will have direct reports in the shipping and receiving department and the installation department. He/she will also work with the Service Manager to staff the service department. In addition to staffing authority, the Operations manager also has purchasing and budgeting authorities.

PRINCIPAL RESPONSIBILITIES

WAREHOUSING

The Operations Manager is responsible for overseeing Manna’s warehousing operations. He/she directs all activities related to the receiving, storing, and shipping of products and materials at Manna’s warehouse(s). Key activities include but are not limited to the following:

  • Supervising the receipt of products and materials

    • Coordinating labor to offload delivery vehicles

    • Verifying that freight documentation is accurate

    • Verifying that products and materials are free from freight damage

    • Reporting damage to purchasing

    • Giving orders to return or dispose of products and materials that are damaged

  • Supervising the storage of products and materials

    • Verifying that products and materials are stored in the correct locations

    • Verifying that products and materials are organized in a neat and orderly manner

    • Fixing damaged products and materials by ordering replacement parts

    • Reporting inadequate inventory levels to purchasing

  • Supervising the shipping of products and materials

    • Ensuring that all necessary products and materials are in place

    • Giving orders to pick products and materials for upcoming jobs

    • Verifying that serial numbers are picked correctly

    • Following up and tracking backorders

    • Auditing sales orders to ensure accuracy

LOGISITCS

The Operations Manager is responsible for scheduling all of Manna’s work. Key activities include but are not limited to the following:

  • Scheduling labor to perform delivery, installation, and service of products

  • Scheduling pick-ups and receipt of equipment and materials

  • Overseeing the staging of equipment and materials

  • Preparing geographical routes for delivery, installation, and service vehicles

  • Communicating due dates and times to customers and sales representatives

  • Monitoring trucks and labor

PROJECT MANAGEMENT

The Operations Manager is responsible for completing all of Manna’s work. Key activities include but are not limited to the following:

  • Negotiating due dates with customers and sales representatives

  • Reviewing orders to determine what resources are necessary

  • Ensuring that all jobs are ready for delivery or installation

  • Ensuring that all jobs are closed out in a timely manner

  • Resolving customer complaints

FACILITIES MANAGEMENT

The Operations Manager is responsible for making sure that Manna’s facilities are maintained and updated. Key activities include but are not limited to the following:

  • Purchasing and maintaining vehicles

  • Vehicles

  • Trailers

  • Forklifts

  • Purchasing and maintaining tools and equipment

  • Purchasing and maintaining inventory systems (ie- racks, bins, etc.)

  • Overseeing the build-out of the service area

  • Overseeing the change-out of equipment at COOKCHILL

  • Coordinating service activities/calls at “Westpark” and COOKCHILL (ie-mechanical, electrical, plumbing, trash, janitorial, security)

MANAGING BUDGETS

The Operations Manager is responsible for managing both job-specific and internal budgets. Key activities include but are not limited to the following:

  • Monitoring job costs

  • Maintaining stock levels

  • Purchasing materials cost effectively

  • Reducing waste and inefficiency

SERVICE BILLING

The Operations Manager is specifically responsible for making sure that customers and vendors are billed correctly for service work. Key activities include but are not limited to the following:

  • Verifying that work has been completed

  • Documenting all completed work

  • Storing and returning parts

  • Ensuring that manufacturers are being billed the maximum rates for warranty work

  • Ensuring that customers are being billed according to Company policy

  • Obtaining approvals from manufacturers for additional time or work

  • Setting up new manufacturer relationships

  • Billing tickets in a timely fashion

SYSTEMS DESIGN AND IMPLEMENTATION

The Operations Manager is responsible for assisting in the sourcing and implementation of new computer systems that are more robust. Key activities include but are not limited to the following:

Ø Defining requirements for new software systems

Ø Entering data into new system

Ø Implementing and training on the following functions

· Bar code scanning

· Service ticketing

· Job costing

· Inventory management

HIRING AND FIRING

The Operations Manager is responsible for staffing for four areas: warehousing, deliveries, installations, and service. The Operations Manager will have direct responsibility for hiring and firing warehouse employees, delivery drivers, and installers. He/she will assist the Service Manager to hire and fire for service technicians. Key activities include but are not limited to the following:

  • Sourcing resumes

  • Recruiting

  • Interviewing candidates

  • Negotiating rates and salaries

  • Terminating employees or contractors

    HUMAN RESOURCES

The Operations Manager is responsible for ensuring a safe and professional work environment for his/her employees. The Operations Manager is also responsible for developing his/her employees. Key activities include but are not limited to the following:

  • Recruiting field personnel

  • Organizing training and professional development programs

  • Training installers and assisting the service manager to train technicians

  • Organizing training classes for licensing installers

  • Maintaining protective gear

  • Maintaining uniforms

  • Maintaining safety programs

  • Reporting time and attendance

  • Disciplinary action

  • Writing performance improvement plans

  • Auditing field work for quality and completeness

  • Fielding and responding to customer complaints

  • Verifying shipping documentation for completeness and accuracy

  • Verifying that jobsites are ready to receive equipment

  • Verifying that jobs are ready for installation

  • Implementing new processes and procedures
