Malace|HR is seeking an experienced Facilities Coordinator in Palatine, IL. The role will be working for the Mobile Equipment Services division of a Fast Food Franchise business that operates in 6 different states. Experienced Candidates will have the below experience.


Sourcing and Procurement:

  • Vendors
    • Source new vendor for all trades in all regions
      • Admin point of contact for service requests
    • New vendor setup
    • Manage COI's
    • Follow-up on invoicing questions
  • Suppliers
    • Negotiate pricing or find best pricing on frequently used and hard to source parts
    • Purchase parts / materials on behalf of teams
      • Manage returns and refunds
    • Follow-up on invoicing questions

Project Support:
  • Administer RFP, when warranted
  • Manage internal communications
  • Source parts, if needed
  • Follow-up on invoicing questions
  • Back-up for Director / FM, when needed

Data Management and Program Support:
  • Admin Service Channel
  • Generate reports and evaluate Service Channel Performance w/Director
    • PM's
    • Reactive WO's
  • Admin Zenput Checklists
    • FM compliance / completion of checklist
    • Creation of WO's based on completed checklist
    • Generate reporting to Director to manage FM performance

  • Invoice investigation, when warranted
  • Budget analysis for quote decisions
