Executive Administrative Assistant

Reporting to the VP & Chief HR Officer with a dotted line to the Chief of Staff/Chief Race Equity Officer, the Executive Assistant (EA) is responsible for performing a variety of complex and confidential tasks, in support of a team of professional in various disciplines. The EA will come in contact with MOC's Senior Leadership Team and high-level Community Officials and Partners, and is expected to be professional, respectful, and kind in their representation of the Agency. A strong commitment to quality work with well-rounded expertise in organizing and completing high level work, juggling multiple priorities, has a sense of urgency, and a great deal of attention to details are a skillset that is required to meet expectations in this role.

Responsibilities:
  • Provides direct administrative support for the Chief of Staff/Chief Equity Officer, and support to the Human Resources team.
  • Assists with keeping executives and their teams organized and responsive.
  • Demonstrates a high level of professionalism when dealing with confidential and sensitive information.
  • Interfaces and engages with Agency managers and employees in a respectful manner.
  • Assists with maintaining benefits vendor relationships.
  • Drafts, edits, proofreads, and or reviews documents for accuracy, format, and presentation.
  • Schedules appointments, meetings, and conferences; schedules Teams or Zoom meetings.
  • Works with the team on various interdepartmental projects and priorities.
  • Reviews and responds to incoming calls, mail, service requests, etc.
  • Creates excel spreadsheets, word tables, and PP presentations.
  • Attends leadership meetings and composes and distributes minutes.
  • Is technology savvy and not afraid to learn new processes and systems.
  • General office management duties including ordering office supplies.
  • Proactively works to maintain a confidential filing system in electronic format.
  • Performs general clerical duties including but not limited to filing, photocopying, and mailing.
  • Assists with special projects and performs other related duties as assigned by management.


QUALIFICATIONS:
  • BA/BS or Associate's (AA) in business or related field, with 5 years related experience providing executive support.
  • Experience in non-profit agencies a plis.
  • Must have experience working with an HR team; familiarity with HR systems and processes required (i.e. payroll, benefits, etc.; experience with ADP, Paycom Pay scale)
  • Excellent verbal and written communication skills.
  • High skill level in Microsoft Office Suite.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
  • Acute attention to details, and juggling multiple priorities and delivering consistent results.
  • Ability to work on complex projects with general direction and minimal guidance.
  • A proactive approach to problem solving with strong decision-making skills.
  • Creative, flexible, and innovative team player.
  • Must be reliable, accountable, and is an individual and team contributor.
