This position's main responsibilities include assisting applicants through the Tulsa Community WorkAdvance program orientation and intake process, contacting program leads, scheduling appointments and overall administrative support to the MSG office. The ideal candidate will be tech-savvy, and detail-oriented, have excellent customer service skills, and be skilled at managing multiple priorities and handling interruptions throughout the day.

Responsibilities:
Greet a diverse group of applicants, customers, and visitors
Answer main phone line, return voicemails and emails
Responsible for outbound lead outreach via phone, email and text to meet recruitment goals for the WorkAdvance program
Schedule program applicants for orientation and interview appointments using online scheduling software through Salesforce
Deliver new applicant orientation in person and virtually 3-4 times a week
Guide program applicants through 1 - 2 hour orientation process in the office
Administer various computer-based & hands-on skills tests to customers
Review customer paperwork for accuracy
Daily data entry into Salesforce (CRM database) and Google Docs & Sheets
Submit weekly reports on WorkAdvance program recruitment goals
Provide support to all staff including filing, event preparation and clean-up
Participate in regular team meetings regarding the intake process, recruitment, and innovative improvements
Assist with updating intake material including updating PowerPoint and Google Slides presentations
Qualifications:
Outstanding customer service skills on the phone, in person and via email correspondence
Strong administrative skills, including extensive experience with MS Office, Excel, Word, Gmail, Google docs/sheets and a typing speed of at least 45 - 55 words per minute
Ability to multi-task and respond quickly to change with minimal supervision
Two or more years of customer service, receptionist or administrative assistant experience
Call Center or Inside Sales experience preferred
Previous recruiting or telemarketing experience a plus
High School Diploma or Equivalent required
Associate or Bachelors's degree a plus
Occasional evening or weekend work required (advanced notice provided)
Must have personal transportation that can be used throughout the workday
