STATUS: Non-exempt; part- time, 25 hours per week
HOURS: Core hours within M-F 9-5, adjusted for evening & weekend hours as needed
The Program Services Coordinator is responsible for coordinating MacPhail?s Faculty performances and programmatic elements of MacPhail events. This position must create and maintain strong, collegial and professional relationships with Faculty, guest artists and community partners.
RESPONSIBILITIES & ESSENTIAL FUNCTIONS
+ Coordinate all activities and staffing related to the MacPhail Spotlight Series and performance series. Work closely with the Spotlight Series Artistic Director, Marketing Department and the President and COO, and collaborate with the offsite venues.
+ In collaboration with the President and COO, develop and coordinate the programmatic elements of MacPhail?s Music Matters luncheon. Coordinate all efforts for the entire event with the Advancement Events Manager.
+ Coordinate all activities related to the MacPhail Faculty Performance Series.
+ Perform stage manager functions for key MacPhail performance events such as Spotlight Concerts, Faculty Performances, and others as required.
+ Organize and coordinate MacPhail?s all employee recognition event.
+ Support the program elements for the Annual Dinner.
+ Organize and coordinate Anacrusis, MacPhail?s annual event for all employees to kick off the new instructional year.
+ Coordinate the gathering and tracking of MacPhail?s annual statistics.
+ Prepare recital programs for faculty studio recitals with support from student services.
+ Collect and prepare the Program Services budget
+ Participate as a member of the Program Leadership Team.
+ Provide support to Program Services Assistant for the recital lottery as needed.
+ Supervise Program Services Assistant
+ Consistent and reliable attendance in the office is essential for the success of this role due to the high level of collaboration and customer facing interactions required.
+ Other duties as assigned.
Education: Bachelor?s degree in music related field, or equivalent.
Skills & Abilities: Strong customer service skills, attention to detail and strong project management skills, intermediate to advanced Microsoft Office Suite computer skills, excellent written and verbal communication skills, highly developed organizational skills, initiative and ability to work independently. Ability to work evenings and weekends as needed.
Experience: 4 years related experience. Prefer artist management experience.
Physical Demands: Frequently sitting, working at keyboard for up to 4 hours at a time. Occasional lifting (up to 40 lbs), walking, climbing, stairs, bending, kneeling, carrying, pushing, pulling, and stooping.
