Job Summary

The Site Administrator has primary responsibility of coordinating designated daily operational and administrative tasks for their location support in the site operations by managing administrative functions and ensuring timesheets, expense reports and receipts are submitted on time for processing by the Corporate office. The role will assist field staff, site manager, and support staff and may also include filling, creating and/or maintaining spreadsheets and reports. Maintains a high level of confidentiality for daily business decisions and operational functions.

Job Essential Functions

  • Assist site manager in day to day coordination of business operations activities.
  • Establishes and maintains lines of communication with site manager, command center and payroll.
  • Provides administrative and technical support such as assisting with time card data, creation and/or review of spreadsheets to create or confirm data.
  • Reviews and reconciles expenses reports and payroll data, as well as other information as needed
  • Ensures proper account codes are recorded on Employee reimbursement forms as well reviewing charge codes on Vendor and Employee invoice(s) as needed as back up to Operation Specialist
  • Follows-up with Accounts Payable on any discrepancies as needed for employee per diem reports and hours worked.
  • Retrieves data from various company databases and creates reports that will assist the site manager or site supervisors with day to day Operations. Information includes but not limited to headcount by assignment, addition of personnel, terminations and transfers.
  • Conducts audits on data quality assurance and tracks Operational reports on the company’s internal drive
  • Review’s employee status report and update employee availability in system.
  • Reviews and submits expense reports for Transportation Specialists (TS).
  • Receives and sorts mail and packages.
  • Other duties as assigned.
  • Employees may be assigned to overnight, weekends, or holiday shifts to support 24/7 operations.

Job Qualifications

  • Associate Degree or equivalent experience normally obtained with 6 or more years related experience in the field of logistics operations, government contracting or business management.
  • Two to three years’ administrative and customer service experience.
  • Flexible with work schedule based on the needs of the operations/ candidate will have a cell phone to respond after hours and on weekend if needed.
  • Strong organizational skills, accuracy, and attention to details.
  • Proficiency of MS Office and Microsoft products.
  • Demonstrates the ability to analyze data out of existing tools and company Databases.
  • Exceptional time management skills the ability to stay on task.
  • Ability to work independently and in a collaborative team setting.
  • Outstanding organizational and coordination abilities.
  • Excellent communication and interpersonal skills.
  • Ability to manage competing priorities simultaneously.
  • Ability to maintain confidentiality.
