Job Description

Administrative Assistant

Luxury real estate brokerage firm headquartered in Boca Raton, Florida looking for a seasoned professional, highly organized and multi-task oriented Administrative Assistant who enjoys working in a very fast-paced office environment in our Fort Lauderdale Office.

The candidate will need strong communication and time management skills, be detail-oriented and have the ability to work under pressure.

In addition, the appropriate candidate needs to be a team player available and willing to assist with tasks needed and help manage incoming calls for the Fort Lauderdale Office and other company-wide tasks, as necessary.

Qualifications:

· - Must be proficient with Microsoft Outlook, Word, and, particularly, Excel and be comfortable learning new computer skills as needed to perform the specific tasks unique to the company

· - Must have the ability to multitask and take on multiple projects

· - Must be responsible and driven to meet deadlines

· - Must have strong communications skills, verbal and written

· - Attention to detail a must

· - Experience in legal/real estate industry a plus, but not required

Responsibilities may include:
- Preparation of various reports using Microsoft programs including Excel and Word
- Preparation of marketing materials including client brochures and providing listing data for periodic marketing materials
- Setting up and maintaining files, hard copy and electronic, for client listings in the approved format dictated by company policy
- Preparation of standard correspondence to clients

  • Setup and Maintain Listing Folders
  • Inputting Sellers/Buyers into Company Database
  • Can Input Listing into MLS
  • New Listings
  • Price Changes
  • Extensions
  • Open Houses
  • Change of status
  • Set-up MLS Showings Drawers
  • Input Listing into Premier Database
  • Input Advertising Words
  • Coordinate Writing of Brochures
  • Types Letters, Form Letters
  • Types Presentation Letters
  • Provides Presentation Package
  • May type Contracts Listing/Sales
  • Responsible for Servicing Problems with the Printer/ Fax Machine
  • Needs to be Proficient in Microsoft Word, Excel, Outlook
  • Creates and Coordinates Printing of Brochures
  • Coordinate Newspapers Advertisements
  • Coordinate Magazine Advertisements
