SALES ADMINISTRATIVE ASSISTANT
Ø Handle phone calls and draft correspondence (mails, emails, announcements, presentations, etc.)
Ø Maintaining sales team’s appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel.
Ø Assist in the development, planning and execution of Marketing-related activities for Sales
Ø Assist in the preparation of notes/materials for meetings.
Ø Prepares slides for presentation, which requires individual judgment and creativity.
Ø Undertake the preparation of the assigned customer portfolio, such as revenue, and track trading record for the sales team to take appropriate action.
Ø Provide analysis of sales-related data and information.
Ø Coordinate annual and regional sector customer conference and meetings
Ø Maintain and ensure accuracy of reports for internal management.
Ø Manage and track team’s travel, leave, and training schedules.
Ø Collect and present monthly cost budget reports
Ø Manage team time off in timekeeping system
Ø Process expense reporting
Ø Welcoming guests and customers by greeting them in person or on the telephone; answering or directing inquiries.
Ø Maintaining customer confidence and protecting operations by keeping information confidential.
Ø Managing partnerships with vendors and other parties, including renewals, payments, event attendees, etc.
Ø Manage customer presentations and other sales projects as required
Ø Assist in the preparation of meeting materials for the assigned customer for the sales team.
Ø Maintain social media presence – provide updates, blog, etc.
Ø Provide marketing-related support – Conference/meeting planning; social media, presentations, event planning and coordination, Sector Community calls, etc.
Ø Play key role in organization and/or coordination of Sales related events
Ø Managing account plans, proposals, contracts.
Ø Retrieving appropriate materials for sales team when required.
Ø Updating database content in support of sales team activity.
Ø Receiving and responding to invitations to bid
Ø Accessing FTP sites
Ø Downloading drawings
Ø Reviewing drawings and specifications for scope of work
Ø Printing appropriate pages and details
Ø Highlighting our scope and presenting projects to the President/Owner and Estimator
Ø Preparing RFI's and speaking to our customers and architects regarding the projects
Ø Preparing proposals
Ø Following up after the initial presentation
Ø Preparing projects for release to production
Ø Undertake any other Sales-related duties and tasks assigned.
Ø Previous experience supporting Sales department
Ø Presentation skills required – able to create and deliver.
Ø Project management skills preferred
Ø Event management experience preferred
Ø Curiosity and ability to take initiative, ownership
Ø Strong planning, organization and analytical skills
Ø Social media awareness and capability
Ø Bachelor’s degree
