Job Description
Salary: $55,000 - $65,000 per year plus benefits

The Operations Manager is responsible for supporting day-to-day school campus operations. You will maintain a high-quality, responsive, and customer service-oriented environment. In addition, you will work with all campus stakeholders – students, families, teachers, and visitors in support of the school's mission. You will support the work of the school in the form of both short- and long-term projects as well as general logistical support. The hard work of the Operations Manager ensures that guides, teachers, and administration are able to focus on the primary goal of creating a high-quality Montessori environment.

Responsibilities

Campus Operations & Facilities

  • Maintain the appearance, safety, functionality, and use of all common spaces throughout the building; support classroom teams with ensuring their rooms are safe, function, and useable
  • Assist campus teams with the creation of day-to-day campus school operations and logistics plans (student arrival, dismissal, lunch, and emergency protocols). Cover day-to-day campus-based work as absences may require
  • Assist with logistics for school-wide and after-school events, both school and Family Teacher Association (FTA) sponsored, including communication, rental needs, food needs, set up/clean up logistics, etc.
  • Coordinate, schedule, and oversee facility drills and lockdowns and after-hour security response
  • Ensure compliance with all citywide building and fire safety regulations
  • Oversee supply inventory, including but not limited to office supplies, classroom supplies, and Montessori learning materials; coordinate ordering in partnership with Academic Teams and/or Operations Coordinator, as needed
  • Maintain strong relationships with facilities engineer and management companies, in order to complete routine maintenance, plan, and execute long-term facilities upgrades and repairs


Student Enrollment & Admissions

  • Assist with the planning, staffing, and logistics of all student recruitment/enrollment events (open houses, school tours, new family orientations, etc.)
  • Support collection of new student enrollment paperwork and DC residency documentation in accordance with state guidelines
  • Assist as needed with enrollment reporting and compliance management

School Finance & Billing

  • Identify and implement a network-wide billing system
  • Manage billing of lunch and extended day
  • Oversee petty cash and make bank deposits as necessary
  • Collaborate with the 3rd party finance partner to build sustainable billing practices for each campus


School Food & Nutrition

  • Coordinate with campus food service managers to ensure the timely delivery of breakfast, lunch, and snack meals, and serve as backup food service manager if needed


Health, Safety & Security

  • Manage regular school-wide safety procedures, including but not limited to EpiPen/Allergy, CPR/AED, Lockdown, fire safety drills, building alarms and access
  • In collaboration with the Deputy Director of Operations, create and update school-wide emergency management plans, disseminate information to key stakeholders, and develop a training and communications plan for staff, students, and community members
  • In collaboration with the Operations Coordinators and school nurses, maintain health suite coverage and routine medication administration


Technology & Systems Infrastructure

  • Oversee campus technology distribution and management of systems, including providing new staff with necessary technology; create new systems for organization, maintenance, and tracking when necessary
  • Maintains staff and student technology, in coordination with technology contractor
  • Ensure Academic and Network teams have access to working technology on a regular basis, such as Computer Lab, annual testing, and other student projects.
  • Troubleshoot routine technological problems and elevate to technology contractor as appropriate to ensure smooth operations of systems and software


A Successful Operations Manager has:

  • A minimum of two (2) years of school operations or operations related experience
  • Exceptional reliability, integrity, and ability to responsibly handle confidential information with discretion
  • Is able to work independently and effectively in a fast-paced deadline-driven environment and juggle several projects at once with a spirit of flexibility and a positive outlook.
  • Excellent written, verbal, and interpersonal communication skills.
  • A drive to implement new and innovative technology solutions to help solve issues and improve the employee experience at Lee Montessori.
  • Ability to listen, influence, and execute through others while coordinating across a broad and diverse group of stakeholders.
  • Highly proficient computer skills with demonstrated knowledge and practical application of Google Docs, Sheets, and other software programs.
  • Ability to make recommendations to effectively resolve problems or issues by using sound judgment that is consistent with policies, procedures, regulations, or federal and state laws
