Administrative Assistant /Marketing Specialist

Seeking a reliable, highly efficient Administrative Assistant/ Marketing specialist to assist with overseeing the daily operations of a busy and growing staffing agency. The ideal individual will have an outgoing personality and work side-by-side with owner to ensure required Admin task and their organizational goals are met.
This role will wear many hats, however to make this a full time role, marketing duties will be included with Admin responsibilities.
The core job function will be:
Performs varied administrative duties and functions. Assisting with frequent website updates, creating marketing, and branding materials, managing Social Media platforms, Update blogs on company website, assist with creating training materials, coordinating administrative tasks for the organization. May be required to do some outside marketing and this role will be client facing.
Specific duties of the Administrative Assistant include:
· Payroll: Collect all current assigned Leasing Temporaries employee time sheet and enter into excel log. Print copies and excel cover and provide to owner for ADP submission weekly.
· Invoices: Create weekly invoices using the printed copies of the time sheets and excel cover sheet
· Delinquency: Print, mail, and email PDF copies, of delinquent invoices and statements to clients
· Marketing: Review job lead boards for employment hiring searches and send marketing material as needed. Work with Geek Squared as needed for marketing outreach material creation- monthly postcards etc. In person meetings with prospective clients
· Accounts Receivable/ Deposits: Collect checks, copy, scan and send to accountant for posting. Complete bank deposits as needed.
· Hiring Ads: Assist with posting employment ads as needed for open positions.
· Interviews: Assist with phone and in person employee interviews as needed
· Reports: Print and send reports to accountants as needed.
· Employment offers: Create offer letters as directed by owner
· Pre- employment screening: Complete new hire background check as needed.
· Client Relationship & Development: Liaise with clients regarding placements, updates, concerns and create contracts as needed.
· Social Media: Update Leasing Temporaries Social Media platforms weekly.
· Website: Assist with website updates as needed- this includes Blog updates
· Assist with marketing outreach and new business creation
· Assist with onsite training and new hire orientation as needed
· Answer phones and/or greet guests
We prefer an individual with experience, but will train the right person. This is a great opportunity for a recent college graduate or someone looking to grow their career with a busy organization.
