Our Client Services Coordinator is our frontline staff and the face of our organization in each community. You are primarily responsible for client family intake, coordinating information & referral services, legal and other periodic clinics/classes, tracking and reporting on service outcomes, maintaining consistent communication with other staff members, and representing LCA in a professional manner. You are also responsible for ensuring a welcoming, efficient and organized office environment.
Our Prineville office currently has just one staff member and it is located at 185 NE 4th Street, which is quite small, however we plan to move to a larger office and hire an office assistant by the end of 2023. This position requires a motivated, self-directed person who will enjoy the challenge of helping us grow this office and increase our services to Prineville families.
This position is full-time 40 hours/week. Work schedule is somewhat flexible, but requires opening and closing the office four days/week and working one day/week while closed to the public. Occasional evening and weekend work is sometimes necessary.
Compensation - $42,000-$46,000 annual salary depending on experience with opportunities for increases dependent on performance and available funding. Benefits include: matching employer contribution to a 401K retirement plan, paid time off, health insurance, and a health expense stipend. Work-related mileage will be compensated according to the regional or county prevailing rate. This does not include mileage between work and home.
PRIMARY RESPONSIBILITIES
Client Service (80%)
· Contribute to an orderly office environment and an effective, supportive staff/volunteer team.
· Help ensure a welcoming, accessible, and organized office environment for client families.
· Support clients by providing appropriate information and/or referrals, and follow-up to be sure clients’ needs are being met. Problem-solving is key.
· Coordinate service clinics (legal, health, etc.) with partner organizations.
· Monitor and evaluate service outcomes and work with other staff to identify and implement needed improvements.
· Translate documents as needed or coordinate translation projects with other qualified staff, volunteers or contractors.
· Engage and supervise volunteers to help you achieve your service goals.
· Participate in trainings to grow your knowledge and skills.
· Complete Oregon Health Plan certified assister training to provide health system navigation to our client families. You are also encouraged to complete Community Health Worker training.
· Communicate regularly with other client service staff, program managers, and volunteers as appropriate to ensure good communication.
· Coordinate with other LCA staff or office volunteers to assist you or cover for you when you must be absent.
· Other duties as assigned.
Administration (15%)
· Perform office duties necessary to ensure timely communication and good organization, including answering phones, checking phone messages and email regularly, and filing documents.
· Learn and implement an efficient intake system to gather and track client data, issues, services, etc.
· Enter data into our “Apricot” online database.
· Communicate your needs clearly and do not hesitate to ask for support or tools you need to be effective in your role.
· Assist Executive Director (ED) and Development Manager with reporting on accomplishments, including client stories.
· Communicate with ED regarding your needs and plans for budgeting purposes.
· Contribute your vision and ideas for our new Prineville office and future staff growth.
Marketing and Outreach (5%)
· Conduct outreach and attend meetings when you are able to in order to maintain and grow an LCA presence in Prineville among our Latino families and community partners. With good communication and planning, you can lean on other LCA staff to help you with this.
· Design and publish fliers and social media posts to promote Prineville services and/or engage volunteers or LCA staff to help with these tasks.
· Manage a LCA Prineville Facebook page and/or group to build a social network to keep the community engaged and informed.
REQUIREMENTS
· Two or more years working in customer service, office work, nonprofits or related experience.
· Bilingual (English/Spanish) written and spoken
· Bi-culturally competent (Latino/Anglo)
· Knowledge of immigrant Latino family issues, challenges, and opportunities
· Resident of Prineville
· Professional and friendly disposition
· Ability to communicate effectively by telephone, email, and in-person
· Positive, team-player mentality
· Organized
· Competent in using common computer programs (MS Word, Excel), email and internet.
· Ability to learn and manage a database program and file-sharing with Google Drive.
PREFERRED QUALIFICATIONS
· Knowledge of the Prineville community and well-connected to Latino families.
· AA or higher educational degree
· Educational background in social work, public health or community development.
· Office management and administration experience.
· Certified as an Oregon Health Plan assister Familiar with the ONE database.
· Familiar with the Medicaid Management Information System (MMIS)
