Job Description

We are a large homeowner association that has over five thousand homes to manage as well as five buildings. This is a great opportunity for someone to grow within the community management industry.

Responsibilities of Front Desk Administrative Assistant:

  • Assists the Community Services-Activities staff in organizing and executing a variety of community functions, i.e., holiday decorations, pool guardroom preparations, events, trips, Festival, etc.
  • Coordinates community center rental contracts and calendar for five buildings.
  • Develops and maintains databases, prepares correspondence, flyers, signs, statistical and narrative reports, etc.
  • Responds to resident inquiries regarding community centers, pools, tennis courts, annual events, etc.
  • Provides scheduling assistance for community center rentals and cleanings.
  • Develops, compiles and maintains data regarding all facets of pool registration and membership as requested by the Board of Trustees.
  • Assists in accomplishing the annual pool registration process and attends each pool photo ops.
  • Receives and processes applications for the Festival and responds to daily calls regarding all facets of the festival.
  • Assists with coordination of Conservator articles with regard to Activities functions and events.
  • Assists with the annual community election process for Trustees and Cluster Committees including the creation, distribution and collection of election forms, organization and scheduling of Elections Committee functions, preparation of annual election statistics, and coordination of cluster committee listings. Codes department invoices, purchases, credit card statements, etc. for appropriate accounting.

Qualifications of Front Desk Administrative Assistant:

  • Bachelor's Degree or related office experience.
  • Excellent verbal and written communication skills
  • Proficient with Microsoft Word, Excel, and PowerPoint
  • Office experience; Answering Phones and writing emails
  • Activities or event planning experience preferred
