Job Description

Job Title: Assistant Executive Director

Pay: Commensurate with experience

Reports to: Executive Director

FLSA Status: Exempt / Salaried Position

Primary Purpose: Laredo International Fair & Exposition (L.I.F.E.) is seeking a full-time Assistant Executive Director. Responsibilities include supervising the daily operation of L.I.F.E. as directed by the Executive Director in accordance with the policies and procedures established by the Board of Directors. The Assistant Executive Director provides professional leadership in all facets of L.I.F.E.’s activities including administration, staff management/training, financial management, non-profit management best practices, and strategic planning.

Minimum Requirements: Bachelor’s degree in Agriculture, Agricultural Science, Agribusiness, Human Services, Accounting, Management, Business, Business Administration, Public Administration, Biology, or related field.

Three years of experience in a professional work environment, with a minimum two years of experience in a supervisory level position; preferably at least two years bookkeeping experience, including, but not limited to, accounts receivable, accounts payable, and payroll functions.

Knowledge in Agricultural Science, non-profit management or public administration experience, preferred but not required.

Knowledge and Skills: The ideal candidate shall possess excellent verbal and written communication abilities and shall be proficient in computer software related to publishing, presentations, graphs/charts, accounting software such as QuickBooks, donor databases, Show Works, and Excel. Additionally, candidate must be dependable, positive, enthusiastic about helping others, trustworthy, reliable, professional, and organized.

Duties and Responsibilities: Provide comprehensive support services to the Executive Director that ensures outstanding communication and responsiveness.

Provide sophisticated calendar management; prioritize inquiries and requests, troubleshoot conflicts with little guidance, make judgments and recommendations to ensure smooth day to-day engagements.

Support Executive Director with internal and external communications.

Conduct research and analysis on issues of interest to the organization.

Support and manage a high-volume of requests and projects to meet the objectives set forth by the Executive Director.

Manage all scheduling and travel logistics for the organization.

Prepare and edit correspondence, presentations, reports, and memos.

Complete expense reports and manage correspondence with vendors.

Support the Executive Director in strategic communications, organizational strategy, and all other special projects, as assigned.

Organize meetings and events, youth clinics, retreats, board meetings, and other logistics.

Serve as a liaison to Board of Directors, in the absence of the Executive Director.

Maintain quality filing and communications systems including contact management, document management, and archiving.

Manage the organization’s social media accounts.

Support Executive Director with donor/funder relations.

Serve as the youth liaison for prospect shows and annual fair.

Manage logistics for prospect shows and annual fair, including validations and submitting orders for animal purchases.

Assists in the supervision of the Office Manager and all contract labor employees.

Assist in other administrative tasks as needed.

Performs any other duties as assigned by the Executive Director.

Compensation : This is a full-time, exempt salaried position. Salary is commensurate with experience. Benefits include: health insurance, vacation leave, sick leave, and holidays.
