Office Coordinator / Administrative Assistant

Landmark Development Services Company is a leading real estate development firm with an opportunity for a highly organized, multi-tasking full-time Office Coordinator / Administrative Assistant in downtown Madison. This position provides a very important first impression for our company and we are looking for someone with a positive attitude, excellent people skills, and a general willingness to be a team player.
Responsibilities:
- Greet and assist onsite guests
- Answer and direct inbound telephone calls
- Develop and maintain organized filing systems
- Order office supplies and maintain office organization and cleanliness
- Draft correspondences and other documents
- Provide administrative support for various departments throughout the company
- Assist with creation and submission of timesheets and expense reports
- Assist with travel plans
- Oversee distribution of incoming and outgoing mail
- Provide support for special projects as they arise
The ideal candidate will have:
- One to two years of receptionist and/or administrative experience in a professional and fast-paced environment;
- Strong communication skills and a professional attitude;
- Ability to take direction, stay organized, meet deadlines, and give attention to detail with a high level of accuracy;
- Ability to multi-task and maintain productivity amid occasional interruptions;
- Strong skills with MS Office (Word, Excel, Outlook, PowerPoint) - Preference will be given to candidates with added experience in Adobe InDesign, Illustrator, and Photoshop;
- Outstanding listening skills – including the ability to inquire further to problem solve and anticipate customer needs;
- Ability and willingness to file, research, complete special projects, and seek processes/procedures to generate efficiency;
- Teamwork skills;
- Professional and welcoming phone presence;
- Ability and willingness to work occasional overtime as the need arises.
