Job description for Newport Dispatcher

We are looking for an efficient Dispatcher to contribute and support our business’s Newport office. The Office Manager's responsibilities include, primarily the following list of tasks:

1. Answer all incoming calls, ask leading questions and document the callers needs

2. Respond to customer emails and voicemails

3. Distribute the caller’s message to the appropriate staff member

4. Assist our mobile project managers with updating our online schedule throughout the day

5. Forward calls to the answering service when you are unable to answer

6. Draft work orders and enter them into the VerizonConnect software platform

7. Update our project number database as new projects are added

8. Assist the concrete cutting manager as needed

9. Help the company maintain a professional appearance throughout the office

10. Assist with warehouse inventory of tools, equipment, clothing, safety gear and consumables

11. May be required to drive company vehicles when emergencies come up

12. Greet employees, walk-in customers and new applicants who walk in the main entrance

 

The dispatcher may also be frequently asked to assist other employees with their tasks, which could be as follows:

1. Occasionally support the Newport-based Senior Office Manager or Westbrook based Office Manager

2. Open incoming mail and forward the mail

3. Create close-out packages for hazardous materials projects

4. Generate invoices for managers to review before mailing them

5. Facilitate zonolite attic insulation trust applications along with submittals

6. Order and purchase supplies for the entire office

7. Advertising Employment Opportunities (Radio, Newspapers, Online)

8. Perform preliminary screenings of applicants and inform management

9. Prepare jobsite binders as needed for Maine DEP regulated projects

10. Maintain the company safety policy and SDS binder

11. Assist with weekly safety meeting coordination

12. Track company vehicle fleet online with Verizon Connect

13. Coordinate with shop mechanic regarding vehicle maintenance

14. Help with organization of the company’s electronic files when necessary

15. Help with accounts payable and payroll when necessary

To be successful as a dispatcher you should be able to perform any tasks assigned by our management and Project Managers in an efficient and timely manner. An outstanding dispatcher will keep up to date on their normal duties, identify other challenges, and ensure any problems are resolved promptly.

 

Office Manager Requirements:

1. Formal education or previous experience in a similar role

2. Proficiency in Microsoft Office (excel, word, outlook)

3. Highly organized and able to multitask

4. Strong attention to detail and problem-solving skills

5. Excellent communication skills both verbal and written

6. Able to work independently or as a team

Lakeside Concrete Cutting was founded in Newport, Maine by Earle Peters in the late 1970s. Earle moved to Maine as a union electrician working at the Sappi mill. He soon started his own electrical business, Lakeside Electric and hired his first employee in 1980. Earle had his own coring equipment and began coring for plumbing companies. By 1990 the electrical industry became more competitive and Earle saw the need for a specialty concrete removal contactor in the area. He cut his first doorway at Waldo County Hospital with rented equipment. In the 1990s, Lakeside’s name changed to Lakeside Electric & Concrete Cutting. Eventually the concrete removal business became so busy, there was no time for electrical work, except for during the winter. In 2012, Lakeside Concrete Cutting, Inc. became an s-corporation in the State of Maine. Earle’s youngest son, Ryan Peters, began working for him in High School and College. Ryan graduated with a bachelor’s degree in Construction Management Technology from the University of Maine in 2006. Ryan worked in the construction industry as an engineer and project manager for three companies in Maine, Massachusetts and Maryland from 2006-2012. Ryan began taking over the family business in 2012 and became the President and sole owner in June 2015 when Earle retired. In September of 2020 Lakeside purchased the assets of Abatement Professionals in Westbrook, Maine. Today Ryan employs a staff of over 40 employees who typically have ten different projects running on a daily basis.
