Job Description

Award-Winning Downtown development Aurthority seeks energetic person who is a good writer and has great organizational skills to be the Administrative Coordinator. Duties include keeping the office organized, managing bids, writing, working with businesses, and being the face of the organization in-person and on the phone. When events are happening, all staff is expected to help with preparation of the event, running the event, and clearing the event.

The part-time job has some flexibility, with the main work done M-F between 9am-5pm. Holidays are paid and Medical, Dental, and Vision are available to part-time employees at a reduced cost.

Responsibilities
  • Writing: Create and/or edit content for
  • Website pages
  • E-newsletters
  • Weekly General e-newsletter
  • Weekly Business e-newsletter
  • Special Edition Newsletters as required (about 1x month)
  • Orion Living Magazine, as needed
  • Grant narratives, as needed
  • Award nominations, as needed
  • Serves as administrative resource person to DDA Director and DDA Board
  • Bookkeeping using BS&A accounting software, as needed
  • Preparation of Agenda Packets for monthly meetings using Accela online agenda software
  • Record Keeping of Bid packages, as needed
  • Liaison for all merchandise sales; tracks/reports on all merchandise sales
  • Manage administration of DTLO office
  • Update Dining & Shopping guide and Available properties list and other pertinent documents quarterly, including associated update to web pages.
  • Manage Buy-a-Brick program, business spotlight, Window Art and other special programs as needed
  • Takes care of non-event flier, brochure, table tent, newsletter and survey distribution as necessary
  • Assists with preparation and distribution of necessary bid documents and tabulates results
  • Working knowledge of all active workplans
  • Performs other duties as required

Requirements
  • Working knowledge of Municipal government procedures a plus
  • Professional attitude and ability to work with the public, Village and Township officials, volunteers and merchants
  • Working knowledge of Main Street ideology a plus
  • Strong organizational skills with attention to detail
  • Willingness and ability to learn quickly
  • Microsoft Office Suite ??? especially spreadsheets
  • WordPress (website design) and graphics programs such as Canva or Adboe Suite
