Administrative Assistant

We are seeking an organized and proactive administrative professional to join our organization. You will work directly with our office staff to ensure all administrative tasks are efficiently and effectively implemented. The right candidate must have strong interpersonal skills, expert communication abilities and the talent to manage multiple tasks at one time. Above average experience in Word, Excel and Outlook is required. In addition, strong computer and typing skills, as well as the ability to learn new systems, are a must.

Duties and Responsibilities:

· Welcome and greet clients and office guests

· Support office staff and executives with general operational tasks

· Support Community Association Managers with various tasks

· Assist Property Manager with key checkouts, deposits, work orders and general office support

· Sort, date stamp and distribute incoming mail

· Prepare outgoing mail and packages

· Reserve conference spaces for meetings

· Send reminders regarding upcoming appointments

· Assist in preparation of presentation materials

· Type out correspondence letters, emails, memos, etc. (paper and electronic)

· Monitor and maintain office equipment

· Monitor office supplies; order and re-stock as needed

· Maintain positive and professional staff and client relationships

· Other duties as needed

· Suggest changes to office task workflow to improve efficiency

Requirements and Qualifications:

· 3+ years of experience as an Administrative Assistant

· Fast, proficient and accurate typing is a must

· Extensive knowledge of Microsoft Suite and other administrative programs

· Outstanding communicator, both orally and written

· Excellent customer service skills

· Familiar with common office equipment (printers, copiers, fax, etc.)

· Detail-oriented and exceptional organization skills

· Experience with complex file management

· Professional demeanor
