Job Description:
This administrative support position will provide general administrative support to the site, as well as routine day-to-day administrative tasks that include, but not limited to:

  • Answer/Screen all phone calls
  • Distribute mail/packages and electronic faxes
  • Provide Concur System assistance (book travel, process expense reports and limited troubleshooting)
  • Maintain tidiness of all common areas (Lobby, Break Room, Conf Rms)
  • Procure/Maintain general office, janitorial and Break Room supplies
  • Provide meeting planning assistance (reserve rooms, order lunches, etc.)
  • Provide event planning assistance for onsite and offsite company events
  • Assist with new hire orientations and coordinate interview schedules
  • Provide limited account management and escorting for office vendors (i.e. vending, office supplies, coffee/water service)
  • Provide limited administrative support to Security DeptProvide general administrative support to Office Administration and local leadership team as directed (includes calendar management, preparing presentations/charts/documents, etc.)
  • Screen all visitors and issue badges based on meeting classification
  • Maintain authorized visitor database
  • Perform Daily Security Report
  • Create new employee badges and manage badge inventory
  • Act as information source for employees regarding administrative policies/procedures
  • Requires a High School Diploma or equivalent and a minimum of 4 years of prior relevant experience or 2 years post-Secondary/Associates Degree with 0 to 2 years of prior related experience.
Preferred Additional Skills:
  • Highly proficient in MS Office (Word, Excel, Outlook and PowerPoint)
  • Ability to adapt to a fast-paced, dynamic environment with the ability to effectively prioritize and multi-task
  • Be a consistently punctual, self-starter that can work both independently and as part of a team
  • Some experience with Concur Travel & Expense or similar software system is extremely helpful
  • Ability to flex schedule to meet urgent work demands on rare occasions
  • Ability to lift about 25 lbs. and walk back and forth between two facilities throughout the day
  • Administrative experience working at a front desk in an office setting
  • Proven track record of managing multiple and competing priorities
  • Strong interpersonal, time management and problem-solving skills
