Job Description

FUNCTIONAL ROLE

Reports to Senior Management and prepares proposals/bids, contracts, and invoices. Works with Project Managers to provide administrative support and job progress tracking and billing.


RESPONSIBILITIES AND DUTIES
  • Assist with the administration of contracts with vendors and subcontractors
  • Assist Project Managers with preparing and submitting detailed proposals/bids
  • Manage contracts and change orders with vendors and subcontractors based on information provided by the Project Managers
  • Prepare monthly project billing using both QuickBooks invoicing and G702/G703 (pay application) format based on subcontractor billing and input from the Project Manager
  • Collect necessary paperwork from subcontractors, including but not limited to insurances, certified payrolls, licenses & certifications
  • Meets deadlines with little direction
  • Other tasks as assigned

Requirements

  • Experience in pay apps, project related accounts payable and receivable
  • Engineering, construction or architectural industry experience or education
  • Proficient in MS Office suite
  • Strong organizational skills
  • Excellent written and spoken English communication skills
  • Ability to manage multiple tasks and meet aggressive deadlines
  • Ability to work with others to solve problems and resolve issues
