Job Description

We are seeking an Office Manager Administrative Assistant to join our team! You will perform clerical and administrative functions in order to drive company success.

Responsibilities:

  • Draft correspondences and other formal documents
  • Plan and schedule appointments and events
  • Greet and assist onsite guests
  • Answer inbound telephone calls
  • Develop and implement organized filing systems
  • Answer and transfer telephone calls and take messages

    Schedule appointments and meetings for the Principals

    Schedule job interviews for the Principals and Project Managers

    Make travel arrangements

    Assist with operational aspects of running the firm including but not limited to organizing meetings staffing, PTO tracking, proposal/presentation preparation

    Track calendars, budgets, and expenses

    Maintaining a clean, organized space. physically and digitally

    Receive customers and visitors

    Provide general information to staff, clients, or the public

    Type, format, and edit routine emails, procedures, and reports

    Copy, file, and update paper and electronic documents

    Assist with the preparation of invoices and other office documents

    Collect information and perform data entry, including the uploading of client information for CRM, project management, invoicing, and marketing purposes 

    Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, and maintaining equipment inventories

    Coordinate with IT consultants

    Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders for supplies

    Assist with onboarding of employees, including with the installation of software

    Assist with setting up conference rooms for company/visitors

    Coordinate company activities as requested

    Organize Lunch & Learns and office-wide meetings and events

    Provide administrative support to ensure efficient operation of the office

    Carry out administrative duties such as filing, typing, copying, binding, and scanning

    Coordinate office services, including cleaning and maintenance

    Coordinate vendors

    Assist with marketing materials

    Assist with coordination of photography and videography of projects

    Organize files, supplies, and samples

    Additional duties as required

  • Perform all other office tasks

Qualifications:

  • Previous experience in office administration or other related fields
  • Ability to prioritize and multitask
  • Excellent written and verbal communication skills
  • Strong attention to detail
  • ​Strong organizational skills
