About the Project Specialist I
Kauffman and Associates has an immediate opening for a talented, detail oriented, Project Specialsit I (PS I). This is an opportunity to create terrific work alongside some great communications professionals at KAI. The successful candidate must have strong communication skills and thrive on challenges in a fast-paced environment with an award-winning team. The PS I is a team player on the Communications Service Line and will assist with coordination efforts, including various communications and marketing-oriented projects.
This individual will work closely with project managers to coordinate complex tasks and assignments. Examples of typical communications projects supported by this role include vaccination campaigns, anti-smoking public service announcements, suicide prevention awareness marketing, and social media campaigns focusing on topics such as education, behavioral health, health care, environmental protection, justice, economic development, food sovereignty, cultural/language preservation, arts, and social services.
Essential Responsibilities
- Provide accurate and detailed notes for project meetings/conference calls; synthesize information in timely manner to distribute to team members and others as directed; provide reports on tasks completed.
- Create, document, update and monitor project information and keep calendar of project activities.
- Track, organize, and archive information related to media buy placements
- Contract administration: including new contract initiation, scope of work or plan of performance tracking, work plan development and monitoring, contract deliverables and budget tracking using spreadsheets.
- Multi-task project assignments with flexibility while coordinating several assignments and duties for multiple managers on a variety of projects and keep information organized in a clear and concise manner.
- Maintain on-going effective communication (verbally and in writing) with project managers, team members, and contracting agencies on project logistics.
- Prepare project related travel requests and employee travel advance documents for PM approval prior to travel and complete travel reconciliation at completion of travel.
- Arrange travel for project team members, consultants, and community participants as necessary (flights, lodging, travel advances, ground transportation, etc.).
- Assist in copying and printing of project materials and information for various project activities.

Education & Experience:
- Bachelor’s degree in communications, journalism, marketing, or related field (required)
- Minimum 2 years of relevant project coordination experience (required)
- Experience working with AI/AN communities (strongly preferred)
- Experience in federal contracting or grant administration (preferred)
Job Conditions
The position may require some travel, and may include evening meetings, extended hours, and interruptions from time-to-time. Close computer work for extended periods of time is required
