Administrative Assistant
Job Description:
The Administrative Assistant (AA) serves as key support Company employees. The AA will preside over initial contact with new clients and schedule/conduct intake appointments for on boarding clients. The AA ensures that each client has the appropriate documentation in their folders and send appointment reminders to clients. The AA will also be responsible for office management including overseeing inventory of supplies and equipment, scheduling cleaning appointments, answering office phones, and maintaining the agency calendar. The AA will complete administrative task as needed to maintain the efficiency of the agency.
The Administrative Assistant is responsible for:
· Acting as the first point of contact for current and potential clients
· Responding to general company emails and phone calls
· Overseeing the agency calendar and scheduling onboarding assessments
· Maintaining the organization of Company office, supplies, and files
· Conducting inventory for Company supplies and equipment
· Conducting research as needed
· Sending appointment reminders to clients
· Recording notes during team meetings
Administrative Assistant requirements and qualifications:
· High School Diploma or Equivalent
· Previous working experience preferably as an Administrative Assistant with a minimum of one year of experience
· In-depth knowledge of employer’s mission and values
· Excellent understanding of customer service and quality services
· Outstanding organizational and time management skills
· Excellent communications and interpersonal skills
· Excellent computer skills along with the ability to learn new skills and/or program
· Familiar with Social Media and Marketing on the different platforms.
· Be at least 18years of age
· Maintain a current and valid Ohio or Michigan driver’s license, a good driving record, adequate insurance, and be willing to use personal car to perform job duties.
· Basic computer skills.
· Problem-solving and conflict resolution management experience
· Successfully completion of all required criminal background check and drug test
PHYSICAL REQUIREMENTS:
1. Standing: Maintaining an upright position on the feet, especially for prolonged periods of time
2. Pushing: Applying pressure and exerting force against an object for the purpose of moving it forward or away from the source of the force – push or pull force up to 35 lbs.
3. Lifting: Raising an object from a lower to a higher position, or moving an object laterally, from position to position-Required to lift up-to 50lbs of force independently. May be required to lift over 50lbs with assistance of another person or a mechanical lift.
4. Stooping: Bending the body forward and down from the waist, hips and knees, sometimes for a prolonged length of time.
5. Reaching: Extending hand(s) and arm(s) in any direction away from the body
6. Balancing: Maintaining body equilibrium to prevent falling when walking, standing or crouching on narrow, slippery or moving surfaces
7. Ability to safely operate a personal motor vehicle on a weekly basis and comply with the Company’s Vehicle Safety Program
