Kaman Composites Vermont located in Bennington Vermont is growing and we are seeking a customer service oriented individual to join our team as a Program Coordinator.

 

The selected individual will support our Program Management function through the completion of program, sales, and customer service activities for assigned accounts from the bid process through order shipment.

Essential Duties and Responsibilities
  • Serves as the main point of contact with the customer for effective communication.
  • Acts as the voice of the customer.
  • Negotiates with the customer on behalf of KCV.
  • Responds to customer complaints and questions with prompt follow through.
  • Verifies data provided for quotations and enters into the system for tracking and bid review purposes.
  • Assists in the management and execution of the quotation process.
  • Communicates the quotation to the customer and follows up with the customer to finalize into a sale.
  • Enters customer orders into system and reviews contract for accuracy.
  • Coordinates the production and shipping dates with engineering, purchasing and manufacturing and keeps customer updated on the order status.
  • Enters all change orders, new revisions and schedule change orders into Epicor operating software.
  • Maintains customer files.
  • Supports shipping group to ensure proper shipping methods.
  • Verifies invoices prior to finalizing and sending to customer.
  • Assists in the preparation for trade shows.
  • Attends trade shows and visits customers' places of business when required.
  • Assists in KCV company website content provision and management.
  • Coordinates all RMA's (returned parts) for assigned customers.
  • Coordinates requests for source inspectors when required.
  • Completes customer surveys and provides customer with other metrics as required.
  • Prepares management data as required for meetings.
  • Provides backup coverage for receptionist when other coverage is not available.
  • Continuously looks for ways to improve systems and processes.
  • Performs job duties in a professional and courteous manner.
  • Performs job duties safely with the goal of no accidents or injuries to self or others.
  • Completes other duties as required.
Qualifications
  • Must have a minimum of an Associate's Degree preferably in a business-related field.
  • Must have a minimum of three to five years of customer service experience preferably in a manufacturing environment.
  • Must have good working knowledge of computer software including, but not limited to Microsoft Office package and the ability to learn the company's manufacturing software and customer supplied databases.
  • Must be able to learn the company's products, materials, reference materials, policies and procedures.
  • Must be detail-oriented, self-organized and work with minimal supervision.
  • Must have the ability to set and modify priorities in order to meet the changing organizational and team needs.
  • Must be team oriented and have a commitment to provide internal/external customer satisfaction.
  • Must be able to work overtime if necessary to meet all deadlines.
  • Must be willing to assertively resolve conflicts, personal or work-related, when such conflict hinders the performance of the organization.
  • Must be able to communicate in a manner that is professional, friendly, open and courteous.
