Job Description

Administrative Assistant / Bookkeeper

2 positions available: One Full Time and One Entry Level Part Time


Searching for an extremely proactive and detail-oriented Administrative Assistant who is highly organized and an excellent communicator. The Administrative Assistant will report directly to the CEO. The Administrative Assistant will be responsible for providing comprehensive clerical and administrative assistance to the CEO so he may focus on his primary responsibilities and maximize his time and effectiveness. The position will include a wide variety of business and personal administrative support duties.

The responsibilities listed below may cover both business and personal:

CEO’s Right Hand: Assist with all administrative aspects of business and personal life.
Scheduling: Assist in the management and organization of the CEO’s calendar by scheduling appointments and communicating with all relevant parties.
Mail. Sort, distribute, and respond to mail.
Document management: Electronic and paper filing and retrieving/sending documents as needed.
Communication: Assist the CEO in the timely management of communications, including written, telephone, email, and voicemail.
Travel Coordination: Manage and coordinate travel.
Event Coordination: Coordinate meetings, events, and parties.
Manage Contacts: Assist in CRM input (customer relation management).
Client Relations: Greet and check-in clients and other guests for meetings and events.
Errands: Perform a variety of office and personal errands.
Manage Service Providers: Coordinate and manage service providers at the office and/or residence.
Research: Conduct ad-hoc research.
Bookkeeping Support: Assist Bookkeeper with payroll, expense reports, and other administrative tasks.

Pay: $18.00 to $25.00 /hour
