Administrative and Clinical Responsibilities:
Always maintain patient confidentiality and abide by HIPAA regulations.
Greet and escort patients to exam rooms. Verify all paperwork is up to date, maintain copies of forms for new/existing patients.
Verify insurances for patients scheduled for same day appointments.
Verify all insurances for patients scheduled next business day, reaching out to parents/guardians for issues such as wrong or no PCP, termed insurances, COB issues, etc.
Attain copies of insurance cards by scanning cards into each patient’s chart and updating once yearly or sooner for any changes to insurance.
Assist with confirmation calls two business days in advance of appointments.
Answer multi-line telephone in a courteous and timely manner, direct caller to appropriate staff member, and/or send any messages via EHR to appropriate staff as needed, ensuring accurate records.
Schedule patient appointments according to provider guidelines, accurately inputting all required patient information at time appointment is scheduled, verify all current demographic, contact and insurance information.
Prepare and maintain well stocked exam rooms for patient evaluation, monitor and restock supplies in each room as needed; clean each exam room after every patient, and at the end of shift, according to practice guidelines.
Record vital signs including temperature and blood pressure, weight, height, allergies and chief complaint for each existing patient in the patient medical record. Record all those present during the exam by name.
Ensure patient’s medical record contains all pertinent information such as recent lab tests, diagnostic studies, results.
Perform urine dipsticks, IM and Sub Q injections, blood glucose testing, pulmonary function testing, eye exams, hearing screenings, pulse ox, nebulizer treatments and any other medical procedures requested by the provider, within the scope of training.
Operate an oxygen tank and assist providers as requested in the event of an office emergency.
Record all immunizations administered in the patient’s medical record.
Perform all procedures in accordance with OSHA and CLIA regulations, including the wearing of protective equipment as required by OSHA.
Assist with the inventory and ordering of medical, lab and equipment supplies.
Perform cleaning of instruments used by providers and make use of the autoclave as required.
Maintain vaccine inventory by performing vaccine count twice weekly.
Maintain copies of patient handouts for physical examinations, making additional copies as needed.
Perform other related duties as assigned.
