Job Description
Our client, a boutique management consulting firm in Center City, Philadelphia is currently seeking a fulltime Executive Assistant (EA) to support the President and Managing Director. 
 
The responsibilities include a full range of executive support, as well as some personal assistance. The EA will be responsible for carrying out the administrative management and technical duties of the office, such as heavy calendar management, coordinating travel arrangements, client interaction, processing expenses, special projects and providing administrative and personal support. The EA will ensure the smooth flow of calendar and communication between the consulting staff, clients, and internal and external partners. 
 
Duties include, but are not limited to:
  • Independently manage complex calendar and schedule for the President and Managing Director, including scheduling meetings across multiple locations and time zones
  • Premeeting material preparation and postmeeting debriefs with the President or Managing Director to determine any necessary follow up
  • Plan and interface President’s personal schedules & appointments i.e. doctor appointments, personal mail, tracking personal expenses.
  • Coordinate domestic and international travel arrangements purchasing tickets, preparing detailed travel itineraries and schedules; includes hotel arrangements
  • Maintain and manage Outlook and our CRM with relevant communication, answer email
correspondence in a timely and, when appropriate, independent manner. 
  • Serve as primary point of contact for clients; managing correspondence, answer telephone calls & greet visitors
  • Support other consultants with administrative tasks (i.e. scheduling)
  • Editing reports and presentations
  • Attend regular intraoffice meetings
  • Prepare and submit expense and billing information to bookkeeper to support the preparation of monthly bills
  • Maintain strict confidentiality of all highly sensitive, personal, and financial Executive Office and client matters
  • Organize and manage office workspace, maintain inventory, and order supplies
  • Special projects and other duties as assigned
 
Qualifications:
  • Bachelor’s degree or equivalent experience is preferred
  • 35 years in an administrative role, preferably supporting several seniorlevel executives
  • The ideal candidate is highly organized, detailoriented, and has an ability to work independently and also able to work effectively as a dependable team member
  • Demonstrated ability to multitask with frequent interruptions, and make independent decisions
  • Demonstrated ability to maintain high level of professionalism, and strong communication skills, both verbal and written
  • Excellent attention to detail in scheduling and coordinating meetings
  • Proficiency with Microsoft Word, Excel, Outlook 365, PowerPoint and Adobe Acrobat, familiarity with a CRM is a plus
  • Strong internet research skills and capabilities
