Job Description

Under Area Director supervision, the Administrative Coordinator supports the overall objectives of Joni and Friends’ U.S. Ministries department. Duties and responsibilities include, but are not limited to:

  1. General Administrative Duties
    1. Greet and receive guests
    2. Answer and direct incoming phone calls and retrieve messages
    3. Create, update, and distribute ministry materials such as prayer calendars.
    4. Order products and office supplies, maintain product inventory, fill resource and information requests
    5. Process printing orders
    6. Submit business card and graphics orders through the Marketing toolbox
    7. Gather data via Raiser’s Edge, Financial Edge, Salesforce, Luminate and any new software applications. Provide standard reports and statistical analysis
    8. Complete monthly expense and other reports
    9. Order and manage holiday cards mailings
    10. Participate in ongoing training in Financial Edge, Raiser’s Edge, Salesforce, Luminate, Certify and any new software applications
    11. Participate in scheduled Admin calls
    12. Train, schedule, and oversee volunteers for assistance with administrative tasks
    13. Track and enter monthly volunteer hours in Salesforce
    14. Provide event administrative support such as registration, name tags, participant materials, follow-up.
  1. Development Duties
    1. Enter weekly donor updates (notes, contact changes, actions, etc.) into Raiser’s Edge
    2. Maintain database accuracy
    3. Document constituent communications and touch points in Raiser's Edge (manually or via Action imports)
    4. As Area Director requests, complete donor touchpoints (e.g., thank you calls for entry level donors)
    5. Run queries, reports, and provide mailing lists
    6. Submit any Raiser’s Edge issues (as needed)
    7. Follow New Donor welcome process and complete timely mailing of New Donor thank you cards and welcome packet.
    8. Write and mail constituent and donor communication cards (birthday, prayer, sympathy etc.)
    9. Use approved thank you designs in the Marketing Toolbox or obtain Area Director and Marketing approval for locally created thank you note designs
    10. Coordinate timely gift acknowledgement thank you card mailings including recurring monthly (Luke 14 Project) donors
    11. Coordinate and complete Lapsed Donor calls/cards with volunteer support
    12. Manage email promotions with Marketing
    13. Organize and complete any donor cultivation related projects (e.g., year over year comparison reporting and touches for entry-level donors)
  2. Accounting and Income Submission
    1. Follow all Joni and Friends Accounting policies and practices
    2. Maintain Area Ministry checking account expense and petty cash records via Quicken/QuickBooks or other software and accurately reconcile monthly bank statements
    3. Submit thorough, timely, and accurate Area Ministry monthly reports, staff Visa/expense reports, and accounts payable requests
    4. Assist with event payment processing (Family Retreat and other events)
    5. Deposit and process income weekly or immediately if ≧ $1,000
    6. Pay and/or automate office expense payments as possible.
  3. Area Ministry Website and Social Media
    1. Maintain Area Ministry website and submit timely updates
    2. As the Area Ministry’s primary social media representative, schedule regular posts on all platforms (both local and IDC)
    3. Participate in any social media coaching and training calls Marketing hosts
    4. Maintain social media calendar using Trello and other tools
  1. Additional Responsibilities
    1. Periodically drive to post office, bank, storage facilities, and other places of business for specific ministry purposes
    2. Work occasional evenings or weekends to assist with events or workshops
    3. Travel overnight on occasion to attend retreats or conferences
    4. Complete other departmental projects assigned by the Supervisor
    5. Complete other projects and assignments as necessary to support the overall strategic plan of Joni and Friends

Qualifications:

  • Must possess a vibrant personal relationship with Jesus Christ and agree with the Joni and Friends statement of faith
  • Desire to serve in a growing and dynamic Christian service ministry
  • Bachelor’s Degree or related experience required
  • Raiser’s Edge or similar database experience required (RE certification will be required)
  • Strong organization and time management skills, including rigorous attention to detail
  • Must possess solid computer skills and proficiency in Microsoft Office
  • Must have a valid driver’s license
  • Ability to lift 10-20 pounds
  • Must be a self-starter, a team player, and have strong interpersonal skills
  • Previous administrative experience preferred
  • Understanding of Christian ministry and specifically Joni and Friends is desirable
