The Conference Center Event's Manager main duty is to sell and manage the event spaces for Charles Schwab's Conference Center with multiple conference rooms accommodating up to 200 guests in the largest space. This individual will provide exemplary customer service and event planning management according to JLL Experience Management and Charles Schwab's standards. The Conference Center Events Manager is also responsible for contract management, accurate reports detailing client requests and billing of services to client, maintenance of website, coordination of vendors and management of the Conference Center team.
o Manager the day to day operation of the marketing and planning of events including corporate, social, and non-profit events, and internal Charles Schwab meetings
o Give tours of the Conference Center facility
o Conduct client meet and greet prior to event as well as post event follow up as directed
o Create and issue event contracts
o Maintain vendor relationships, agreements and certificates of insurance
o Manage event invoicing and event accounts receivable checks in a timely manner and report accordingly
o Assist clients with onsite event coordination including, but not limited to catering, hotel accommodations, decorations, etc.
o Participate in local tourism/promotional groups
o Extensive networking with local, regional, and national event planners, and public relations/marketing professionals
o Network with corporations, non-profit associations, neighborhood associations, and national brands to promote the booking of event spaces
o Maintain knowledge of industry standards and practices along with competitive pricing and venues
o Conduct extensive tours and open house activities
o Development of annual marketing and business development plans and goals
o Development of annual marketing budget (including advertising schedule/budget)
o Identify, develop and execute advertising pieces for printed and digital platforms
o Provide reports with a detailed analysis of success with networking initiatives and inquiries received
o Maintain SEO platforms with updated information and respond to inquiries
o Develop and maintain marketing materials and general event space information
o Maintain conference center website
o Create and distribute a weekly and monthly events calendar
o Prepare the Events monthly financial report as directed
o Maintain up to date/accurate conference center information
o Coordinate labor for events including janitorial and security and loading dock schedule
o Be knowledgeable of the conference center audio visual equipment and its operation as well as maintain and secure equipment
? Contract File Administration:
o Keep up to date status of all contracts for events, preferred vendors, non-preferred vendors, etc.
o Distributes inner office memos as directed
o Coordinates appropriate labor for all events and as directed
o Coordinates security as directed
o Secure insurance certificates (COI) as directed
o File all correspondence as directed
o Track client payments and ensure full payment is received prior to all events
o Responsible for the supervision of the Event Coordinator and Attendant, providing daily support and management of job performance
o Manage staff to meet JLL Experience Management, Charles Schwab and contracted client's expectation
o Evaluates and participates in the hiring of the Event Coordinator and Attendant, provide training in JLL Experience Management policies and procedures along with the property's
o Counsels and coaches team members regarding unsatisfactory performance, including recommendation of termination when appropriate
? General Event Planning Services:
o Handle all event planning requests in a timely manner from Charles Schwab and contracted clients, see through from beginning to end to ensure that they run smoothly be proactive to provide follow-up, updates and status on any and all requests in a timely manner
o Other concierge-related requests, as needed

Skills & Aptitudes
? Superior knowledge of San Francisco's cultural, dining, and entertainment venues, and ability to match client desires to the appropriate venue
? Direct hotel/catering/event sales and marketing experience preferably coming from the hospitality industry with 3-5 years' experience. Event planners with 7 years' experience.
? Experience in management of employees.
? Must be able to develop and evaluate Event Revenue Summaries.
? Must have San Francisco connections to networking groups.
? Must have experience developing and leading marketing activities to include website development.
? Must have contract negotiation experience
? Candidates with outside sales experience and cold calling is a plus.
? Must have high proficiency in MS Excel and other spreadsheets, experience with CRMs, i.e. Salesforce, Caterease, etc.
? Able to multi-task in a fast-paced environment, accommodating and communicating to a broad range of clientele with varied needs
? Able to think quickly and efficiently when confronted with a client request
