Johns Hopkins University's Student Health & Well-Being portfolio supports disability services, health education, primary care, and mental health services for JHU students and learners across all nine schools within the University. Student Disability Services (SDS) coordinates academic, housing, dining and transportation accommodations in accordance with applicable laws and institutional policies and enhances understanding of disability as a cultural identity. Under the leadership of the Assistant Directors of Student Disability Services, we are seeking an Exam/Administrative Coordinator/SDS DC/Professional Hub who will provide a variety of services to support Carey Business School, Johns Hopkins Advanced Academic Programs, the School of Education, and Engineering for Professionals/Lifelong Learning students with documented disabilities. Those services include overseeing student testing operations; administrative support; safekeeping of confidential records; contact with students, faculty, and staff; and providing general information on the process for accessing accommodations.

Overall, the goal is to ensure all students with disabilities have consistently inclusive and accessible experiences at Hopkins. The position will be based at the SDS DC Professional Hub at 555 Pennsylvania Ave, NW, Washington, DC, with infrequent travel to other campus locations. Experience working in a diverse and multicultural work environment is preferred. Flexible hours are required at key times in the academic year, including evenings.

Primary duties include the delivery of [testing] accommodations, administrative support, and communicating with students, faculty, and staff, including maintenance of multiple databases/spreadsheets, and resolution of sensitive matters responsibly. Must exercise independent judgment regarding privacy of student information through clear and concise written and verbal communication. Will coordinate other administrative duties as needed to include interpreting office and campus policies.

The Exam/Administrative Coordinator provides exam coordination and administrative support. The position will report to the Assistant Directors of Student Disability Services, working on site at 555 Pennsylvania, but will manage exam accommodations and provide administrative support for the entire DC/Professional Hub. The position will also provide back up coverage from the SHWB front desk member who will also cross train to provide exam/admin support for SDS.

This position works with students, faculty, and other administrative offices to arrange exam accommodations for students with disabilities. The position will coordinate aspects of the SDS database, including running reports and inputting data to manage the exam accommodation process. The position will also provide administrative support to the DC/Professional Hub, including but not limited to purchasing supplies and hiring/supervising graduate assistants/proctors.

Specific Duties & Responsibilities

  • Communicate effectively and maintain positive, courteous, supportive, and professional working relationships with all levels of contacts.
  • Contribute to the customer service-oriented atmosphere within the department and help with other functional areas when needed or requested.
  • Assist with database maintenance and suggest modifications to enhance workflow.
  • Maintain the testing inbox and calendar for the DC Hub.
  • Manage the exam accommodations module in SDS online data management platform.
  • Send out reminders to professors and students about upcoming exams.
  • Work with professors to have Alternate Testing Contracts filled out in a timely manner.
  • Train and supervise Graduate Assistants related to test proctoring procedures.
  • Supervise proctors, including online proctors.
  • Confirm and track communication with students, faculty, Teaching Assistants, staff and proctors.
  • Print copies of exams, safely store and catalogue exams to prepare for administering.
  • Locate and reserve testing locations for students, including those requiring reduced distraction space.
  • Compose, edit, type and distribute various form letters and correspondences; create and maintain necessary files.
  • Request supply orders necessary to perform duties.
  • Keep inventory of necessary office supplies to replenish.
  • Perform tasks with a significant degree of independence, requiring knowledge of university resources and facilities.
  • Assume administrative tasks, special projects, ad hoc reports, research data and other related activities.
  • Provide back-up coverage to the SHWB suite front desk, scheduling appointments, receiving students arriving for appointments and other duties as assigned.
  • Develop and maintain information to generate reports, tables, charts, graphs and PowerPoint presentations as needed.
  • Schedule appointments and exam rooms; type routine and specialized correspondence as well as reports; answer telephone, screen callers and relay detailed messages
  • Willingness and flexibility to take on other duties as assigned.


Special Knowledge, Skills & Abilities
  • Must be able to work efficiently, effectively and professionally in a fast-paced environment interacting with a range of people to include faculty, SHWB staff, and students.
  • Demonstrated interest in working with college students who have disabilities.
  • Develop knowledge and understanding of initiatives, goals, and objectives of Student Disability Services.
  • Ability to establish priorities among competing demands, independently resolve scheduling conflicts, and exam accommodations details.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Three years administrative/academic related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Experience in disability services in higher education, providing progressively responsible administrative support while working on a wide variety of special projects and assignments.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
