Position Overview:

The Transaction Coordinator for the Bellevue Main office of John L. Scott, Inc. performs administrative and clerical support for the branch and to the brokers as directed by the Office Leader and Office Administrator. Duties and responsibilities include maintaining a healthy, positive and service-oriented relationship with all persons but in particular with the agents and their customers and clients. This person will provide a wide range of transaction coordination services which include using software provided to assist the agent by reminding them of contract deadlines and providing updates as received. This role requires a positive outlook, enjoyment of a fast-pace environment with changing priorities but more importantly, must embrace our John L. Primary responsibilities may include, but are not limited to:

  • Compile, verify, record and process forms and documents
  • Data entry into proprietary program including input of transactions, and following them thru closing
  • Provide technology assistance with equipment and software applications
  • Gathering relevant information, relating data from different sources and identifying possible solutions
  • Effective and positive articulation of complex concepts through oral and written means to individuals or groups
  • Establishing a course of action for self and/or others to accomplish a specific goal; planning proper assignments of personnel and appropriate allocation of resources; utilizing appropriate prioritization to achieve timely results
  • Key in, edit, proofread and finalize documents
  • Maintain and prepare reports
  • Respond to telephone, in person or electronic enquiries
  • Send and receive messages and documents
  • Sort, process and verify forms and documents
  • Scan documents into online system for viewing by broker & client
  • Custom Flyer Coordination
  • Process Earnest Money checks
  • Order/update Title Report
  • Lender follow up on Appraisal and insurance
  • Escrow follow up on docs, Title, signing appointments, Preliminary HUD
  • Agent Notifications and status updates thru out transaction
  • Provide information on transaction services to brokers directly and in office meetings

 

Required Knowledge & Skills:

  • Excellent communication skills
  • Great attention to detail
  • Knowledge of major software
  • Solves problems effectively
  • Well organized
  • Works well in a team
  • Ability to handle multiple deadlines and projects
  • General office experience, PC and data entry skills with MS Office suite of products
  • Sales and/or Real Estate experience helpful but not required

 

Qualifications:

  • Three or more years in customer service and administrative experience preferable in real estate, lending, title or escrow setting
  • A professional appearance and demeanor
  • Experience in loan processing, title, escrow or real estate preferred
  • Experience with a high volume office preferred but not required
  • Experience with Paperless Pipeline and SkySlope preferred but not required
