Position Overview:

The Marketing Services Representative for the Seattle Center office of John L. Scott is primarily responsible to greet guests, answer phones/emails, and provide a variety of administrative tasks, including assisting in marketing and social media efforts, for the office and brokers. The MSR also does project-based work to support our Leadership, Staff, and Broker Associates, as well as provide simple technical support on JLS tools and programs as needed. The MSR plays an instrumental role in creating a positive work environment and ensures that the office provides outstanding service to all external and internal clients. This is truly an important role as John L. Scott is known for the excellent service we provide; the MSR is a critical part of this mission. Primary responsibilities may include, but are not limited to:

  • Be the face of the branch as the first point of contact for external customers by greeting and assisting all guests as they enter and answering the branch’s main phone line and email account
  • Provide marketing support including, but not limited to, flyer and newsletter creation, interactive outreach materials, and development of buyer and listing presentations
  • Assist in a range of Broker Services including, but not limited to, listings, transactions, client relations, and marketing services
  • Act as liaison between brokers and the IT department by providing technical assistance and/or training for equipment and John L. Scott software applications, troubleshooting and maintaining office equipment, and engaging with Broker Care (IT) if unable to resolve a broker issue
  • Assist with designing and creating custom broker marketing pieces, editing videos, and updating social media
  • Enter, update, and follow-up on transactions and listings, as well as provide account receivable support, using the accounting software CommTrax
  • Upon request, assist with the coordination of education classes for branch including communication with speaker/vendor, calendar invitations, and room/materials prep
  • Additional administrative responsibilities as needed including, but not limited to, reviewing, distributing, copying and organizing paperwork; light facility maintenance; maintaining office standards and keeping office organized; and opening/closing the office
  • Maintain office broker rosters, birthdays and milestone updates, set up broker mailboxes and assist in the implementation of John L. Scott tools and programs within the branch
  • Split and assign documents in SkySlope on a case by case basis, add additional paperwork to listings and transactions in SkySlope as needed
  • Maintain earnest money log and order courier pickups for earnest money checks
  • Maintain fully operational, visually appealing, and professional office environment in line with John L Scott’s company standards
  • Reliable attendance to be sure initiatives and processes are moving forward as well as ensuring customer service levels are where they need to be

Required Knowledge & Skills:

  • Ability to understand and embrace JLS’s company culture in the client/broker/management relationships
  • Technically savvy - Must be able to use a variety of software platforms, including Microsoft Suite and must be able to learn JLS proprietary programs and applications
  • Self-driven team member who works at a fast pace and uses time effectively and efficiently
  • Clearly and professionally communicates information, expectations, and processes, both verbally and written, including the ability to get messages across that result in the desired effect
  • Maintains effective professional relationships with brokers and JLS staff and gains trust and respect for the team
  • Remains calm and composed during stressful situations
  • Must be receptive to new ideas and processes and candid in the sharing of information
  • Must exhibit a professional appearance and demeanor consistent with the John L Scott company culture
  • Consistently exhibit a high level of professional accountability
  • Experience in marketing and tech training preferred
  • Sales and/or Real Estate experience helpful but not required


  • Associates degree or equivalent work experience
  • One year or more of administrative experience
  • One year or more of customer service experience
  • ·Marketing and Real Estate experience helpful but not required
  • Experience with email marketing tools a plus
  • General office experience, PC/MAC, and data entry skills
  • Microsoft Office intermediate/advanced skills
  • Previous experience with SkySlope, Constant Contact, and CommTrax a plus
  • Canva and Photoshop experience preferred
