Joe Taylor Restoration is seeking an Executive Assistant to support our Vice President. In this key position, you will work directly with upper management and will be responsible for performing a number of key administrative duties. The ideal candidate is highly self-motivated, professional, capable of managing their workload and prioritizing tasks in a fast-paced and steadily growing corporate environment.

Responsibilities

  • Coordinate daily calendars of senior managers
  • Plan appointments and events
  • Coordinate presentations and marketing events
  • Act as the point of contact between executives and employees/clients
  • Create regular reports and update internal databases
  • Schedules and coordinates travel arrangements
  • Manage phone calls and emails
  • Respond promptly to managers’ queries
  • Facilitate internal communication (e.g. distribute information and schedule presentations)
  • Order and manage marketing supplies and employee uniforms
  • Manage company’s Continuing Education Program
  • Manage expense reports and PO tracking for Vice President
  • May deal with confidential and proprietary information; must be able to exercise discretion and maintain confidentiality
  • Document management
  • Coordinate as needed with our Branch locations
  • Other duties as assigned

Requirements

  • Proven successful work experience as an Executive Assistant, or similar role
  • Excellent organizational skills with an ability to think proactively and prioritize work
  • Experience with event planning
  • Ability to successfully manage several key projects in tandem
  • Ability to multi-task and to work under time constraints
  • Solid experience with office management systems and MS Office
  • Familiarity with online calendars and cloud systems
  • Strong communication skills (via phone, email, and in-person)
  • Experience exercising discretion and confidentiality with sensitive company information
  • Knowledge of office procedures
  • Experience using office equipment, including printers and fax machines
  • High school degree; additional qualifications as Personal Assistant or Secretary are a plus
