Position Summary
Administrative staff are the backbone of our agency! The JFCS Administrative Assistant supports the receptionist at JFCS's main office by serving as a backup receptionist on a regular basis as well as assisting with the administrative functions related to the smooth operation of the JFCS main office and the JFCS Squirrel Hill Food Pantry (SHFP). Primary tasks include greeting and directing visitors, answering telephone inquiries, helping with Food Pantry operations, and working on various administrative projects related to SHFP and other departments.

Qualifications
- Bachelor's degree or minimum three years' experience as an administrative assistant
Required Skills/Abilities
- Comfortable working with a culturally and linguistically diverse client population
- Comfortable working with volunteers of all ages and backgrounds
- Excellent organizational and communication skills
- Proficiency in use of telephone systems, electronic data records and office equipment
- Proficient in Microsoft Office Suite and similar software
- Customer service oriented and pleasant demeanor
- Informational systems/data collection skills
- Ability to work collaboratively with others and follow directions
Duties and Responsibilities:
- Greets and directs visitors properly
- Answers and transfers phone calls, screening when necessary
- Responds to and resolves administrative inquiries and questions
- Handles mail and other communication materials
- Assists in collecting and entering data accurately into the appropriate system
- Assists in working with volunteers and clients
- Prepares reports as requested
- Prepares letters, summaries and other documents as needed
- Participates in staff development and training opportunities
- Assists with the acceptance, tracking, storing and distribution of food and donations
- Supports other administrative and program activities as required
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
