Administrative Assistant / Leasing Clerk

Real Estate Property Management Company in Hackensack, NJ is offering a full-time entry level position with an opportunity for growth within the company.

Job Responsibilities:

Administrative Assistant / Leasing Clerk

  • Track lease expirations, renewals and generate reports.
  • Prepare lease renewals
  • Track and ensure that all tenants have signed their lease renewals and follow up with tenant’s who have not provided a signature 
  • Calculate and track rent increases
  • Keep property managers informed on lease renewals that haven’t been signed
  • Move in tenants and move out tenants in Rent Manager in a timely fashion
  • Perform general clerical duties to include but not limited to, managing incoming & outgoing mail, scanning, copying, faxing, filing, and data entry.
  • Greets visitors, answers office telephone system, responds to direct requests for information and forwards messages to appropriate staff.
  • Works closely with the department heads and facilities on special projects and initiatives to support the property management team as assigned.
  • Maintains property management files, reports, and related communications.
  • Reviews delinquent account ledgers.
  • Writes and prepares late letters and makes phone calls on delinquent tenant accounts.
  • Listens to tenant needs, concerns and comments.
  • Ensure all maintenance repairs are handled satisfactorily by contacting residents with completed service requests on a weekly basis.
  • Knowledge of Rent Manager software updating tenant’s history file
  • Performs other duties as required and/or assigned.


  • At least 1 year experience in previous relevant customer service and handling tenant accounts
  • Demonstrate strong oral and written communication skills
  • Ability to keep accurate record
  • Must be organized and task oriented, able to work in a fast-paced, team-oriented environment with multiple deadlines, and adapt readily to changing priorities.
  • Excellent time management skills and the ability to prioritize work
  • Ability to write effective communications to tenants
  • Must demonstrate initiative and be able to work independently
  • Proficiency with Microsoft Office is required
  • Ability to learn property management administrative tasks
  • Experience with Rent Manager or other property management software a plus
  • Fluent in Spanish is a plus
