Position Summary

Reporting to the Vice President of Human Resources (HR), the HR Admin supports recruitment and will be responsible for the new hire onboarding process for staff joining JPA. The HR Admin is responsible for the scheduling and facilitation of onboarding presentations, education verifications, administrative support for regulatory inspections, among other HR related responsibilities. The HR Admin will also have overall responsibility for organizing, maintaining, and updating employee data in the Human Resources Information System (HRIS) and files.


Essential Duties and Responsibilities (include but are not limited to):

  • Support employee recruitment process by responding to all general employment requests for information, conducting applicant pre-screening for select vacancies, coordinating interview schedules, and preparing offer letters
  • Prepares and places all job postings; uses social media platforms, job boards, college and university career services, and other strategies to heighten the visibility of JPA 
  • Coordinates the new hire onboarding process with new hires and hiring managers, and coordinates and facilitates/conducts new hire orientations; ensures all hiring documents are submitted and maintained in HRIS
  • Assists in the compilation of confidential data and supporting documents for investigations
  • Maintains files in HRIS for recruitment and performance evaluations
  • Distributes and collects training certificates/credentials; conducts reference checks and education verifications
  • Maintains I-9 records; conducts audits to ensure employees are in compliance 
  • Assists in the planning, coordination, and implementation of HR trainings and projects
  • Performs other similar or related duties that may not be specifically included within this position description but are consistent with the general level of the job and the responsibilities described

Qualifications:

  • Bachelor’s degree and a minimum of two years of human resources experience
  • Excellent interpersonal and communication skills are essential, both written and verbal
  • Strong customer service approach to interactions with colleagues, candidates, and external stakeholders
  • Strong organizational and administrative skills, including proficiency in Microsoft Word, Excel, PowerPoint, and Outlook; knowledge of Applicant Tracking Systems (ATS)
  • Proven ability to prioritize, work independently, and navigate multiple complex tasks in a fast-paced environment simultaneously
  • Ability to demonstrate initiative, judgment, diplomacy, and respect for confidentiality
  • Must have a passion for JPA’s mission
