The Role:

JCDecaux is currently seeking an Administration & Facilities Manager who will report to our Chief People Officer and will be responsible for overseeing all aspects of the service and operations of the JCDecaux North America US worksites.

This is a full-time position based in our New York office and will operate in a hybrid work model.

Pay Range: $65,000-75,000

Key Responsibilities:

  • Provide support, research, and administrative assistance on MBE / WBE requirements across Business Development, Operations, Legal and Finance. Including but limited to:
    • Identifying possible partners and preparing short lists for review
    • Vetting of short list of potential M/WBE partners by City/State for various JCDNA contracts and setting up exploratory meetings
    • Providing support to potential firms in applications to achieve M/WBE status and help JCDNA reach its M/WBE goals
  • Guest management, including arranging conference rooms, building registrations of guests and guest passes.
  • Manage Facilities Help Desk requests
  • Submit ESB Workspeeds for office issues
  • Place, receive and route a high volume of calls
  • Manage all incoming and outgoing mail, packages, and UPS shipments.
  • Ensure that first aid kit is well-stocked and in compliance with OSHA regulations
  • Act as the on-site point person for all day-to-day office logistics and facilities needs
  • Coordinate routine inspections and emergency repairs with outside vendors.
  • Manage emergency and evacuation procedures.
  • Collaborate with landlords and upper management on budgeting for facilities’ needs.
  • Coordinate contracts and providers for services including security, parking, cleaning, and office supplies.
  • Ensure that basic facilities, such as water and heating, are well-maintained.
  • Act as liaison to external office vendors like building managers and engineers, HVAC, cleaning crew(s), and others as needed. Identify and delegate specific office repairs and maintenance to designated contractors/vendors in a timely manner.
  • Responsible for the purchasing of office supplies and maintaining proper stock levels for all work sites.
  • Oversee the day-to-day activities of the NY office.
  • Partner with senior management to coordinate administrative and clerical support as needed, managing allocation of resources.
  • Recommend and implement process and policies for administrative support needs.
  • Prepare monthly rent statements and work with Finance to ensure timely and accurate payments.

Qualifications & Requirements:

  • Bachelor’s degree desired but not required.
  • Ability to work in fast-paced and demanding environments 
  • Proficient in Microsoft Office: Word, Excel & PowerPoint.
  • Excellent verbal and written communication skills.
  • Good “problem solving” ability within a high-pressure environment. 
  • Ability to be proactive and a team player.
  • Strong organizational skills and attention to detail.
