International Strategic Management:

Since 1991, International Strategic Management, Inc. (ISM) has provided economic development services to organizational leadership teams around the world, facilitating the establishment of entrepreneurial ecosystems and strategies for leadership teams on economic development and entrepreneurship. We also deliver entrepreneurship and leadership training to high school and college students as well as to organizations supporting technology commercialization, including training for minority, ethnic and immigrant groups. We do work globally in over 100 countries.

General Overview:

The Operation Assistant Manager is expected to perform key duties supporting the ISM leadership team and coordinate between ISM team members all of the day-to-day activities globally. Tasks will vary everyday and may require shifting priorities as needed.

Job Summary:

This position will report directly to the CEO of ISM

Under general supervision of the CEO and ISM team, provides support to assistance participating entrepreneurs and clients needs and provide administrative assistance to the programs and ISM activities, including secretarial and program support.

Experience working with global or local ethnic or multi-culture groups (organizations) is a plus.

Responsibilities and Duties:

This Operation Assistant Manager will perform these key responsibilities but not limited to:

All standard general office duties and responsibilities, including correspondence with all contacts via mail (thank you cards, reports, email, and phone calls)
Content writing for print and digital content for several websites
Support the development and promotion of events and programs
Support the team as we collect and prepare customer testimonials for viewing
Assist with the document, spreadsheet, and template creation, and tracking/maintaining them
Manage CRM client outreach using software such as Mailigen and campaign systems
Work with ISM team to set up a funding campaign
Design and implement visualization projects to promote impact on a global scale
Research and gathering information to assist executive team members as needed
Data mining and reporting for the sales and account management team
Prepare and support the response to incoming RFPs, logging and tracking progress
Research and prepare case studies, analytics, and ad hoc projects
Record responses in either a tangible response format or a digital format as requested

Provide administrative support for programs and services, including registration and set-up of online or in-person programming

Reserve and prepare rooms for events including ordering food and cleaning the room(s) as needed for in-person programs

Setup all online classes and tools for each cohort and new clients including all ISM technology tools such as ISM's own IP, Zoom, online classrooms, and other programs including calendar invites.

Assistant with the preparation of correspondence, documents, and records, and reports as requested by the CEO

Maintain official records and documents: Develops and maintains a client database, prepares periodic reports, and maintains records of projects, progress, and the status of the incubator.

Keep the CEO fully informed on the organization activities and prognoses

Assist in establishing sound working relationships and cooperative arrangements with community groups, partners, and organizations

Interfaces and work with clients, service providers, and others to collaborate on achieving ISM goals and objectives

Assists in developing and implementing performance metrics and goals.

Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.

Remains competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses as directed.

Assist as a catalyst to strengthen the region’s small-business support network by coordinating the delivery of services to tenants and clients, working closely with other business service providers to facilitate tenant and client success.

Coordinates day-to-day operations related to the Company’s office and technology; documents efforts through a client-tracking database such as Pipedrive and other tools

Ensures project compliance with applicable internal and external requirements

Prepares proposals to clients and responds to inquiries/requests

Assists in developing and monitoring program budget (works with the team to make recommendations)

Create and edit documents using Word, PowerPoint, and Excel (content for documents will be provided by the team)

Assist with overflow, special projects, and day-to-day tasks

Other duties maybe assigned by the CEO

Qualifications

Prior administrative or program experience required. Experience with start-ups or small businesses is desirable. Strong interpersonal skills, computer skills, and strong organizational skills are all required.

The ability to work with global leaders and organizations is a plus. Knowledge of website editing is also a plus.

Must have the characteristics of an entrepreneur, including high energy, strong need for achievement, persistence, the ability to learn from mistakes, adaptability, strong work ethic, self-confidence, self-starter, and the ability to operate independently with minimal direction. Excellent oral and written communication is a must.

Interacting with diverse populations is also important. The ideal applicant will be flexible with their work hours, some nights and weekends may be required. Remote work is available as long as we can arrange for a few days in the office both in the Troy and Detroit metropolitan areas.

Strong oral and written communication skills. Ability to work independently and collaboratively with a diverse group of people. An action-oriented, adaptable, and innovative approach to managing the operations and programs and supporting the global team.

2. Recipient four-years degree or equivalent work experience; or two years related experience and/or training; or equivalent combination of education and experience.

3. A track record of effectively working as an administrative assistant or office manager. or program manager or executive assistance. Strong organizational skills and the ability to work independently with little supervision.

4. Strong PC skills, proficient knowledge of Proficiency in Microsoft Office Suite, Google Suite or Mac applications. Requires typing speed minimum of 60 wpm.

5. Exhibits increased proficiency in duties and expanded knowledge and application of software packages such as Pipedrive, Squarespace, and other tools is a plus

6. Self-starter, ability to work in a fast-paced team environment. Ability to work in a fast turnaround and high-pressure environment.

7. Ability to multi-task, prioritize, manage multiple priorities effectively and accurately while meeting deadlines

8. Excellent diplomacy and judgment; able to make independent and sound business decisions; needs minimal guidance; knows when to seek advice

9. Knowledge of general office procedures (e.g., filing, correspondence, scheduling) and QuickBooks is a plus

10. Superior organizational capacity to enable multi-tasking day to day deliverables

11. Superior oral and written communication skills and etiquette

12. Advanced ability to organize and prioritize

Language Ability:

The ability to communicate (write, read and speak) English is a must. Knowledge of foreign languages is a plus.

Hours and travel:

Flexibility as needed to meet the office goals and objectives. Some nights and weekends maybe required. The executive office is located in Troy, training facilities are in Detroit and the metropolitan area.

Pay: DOE

Hours: 10-25 hours a week (Flex hours)

Office locations: Online for now. Troy and Detroit, some travel may be required in Michigan.
