f you are ready to change the world and protect the protectors, the International Association of Fire Fighters (IAFF) currently has an IMMEDIATE opportunity for an ADMINISTRATIVE ASSISTANT in the IAFF General Secretary-Treasurer's office.  

This is a non-exempt, full-time position (32.5-hour work week) with office assignment at the Headquarters of the International Association of Fire Fighters in Washington D.C. Position Summary: The office of the General Secretary-Treasurer is a fast-paced environment and requires the candidate to use full discretion on sensitive matters. This position is responsible for providing administrative and office support to the General Secretary-Treasurer’s Office and staff. This description may not include all the specific duties and responsibilities. Below is a general summary (Responsibilities) of the work required and should not be treated as a total and complete list of expected duties to be performed by employees in the classification

 

Responsibilities:

·        Answers incoming telephone calls, responds to telephone requests that have standard answers, and refers other inquiries  to                           appropriate staff. 

·        Opens daily mail, emails to GST team, files in SharePoint, and distributes as necessary.

·        Maintains department calendars.

·        Files, records, and orders supplies.

·        Handles routine clerical and administrative support activities.

·        Prepares correspondence for mailing, types and mails forms and other documents as necessary.

·        Provides some support to the Finance and Membership Departments

·        Assisting Executive Assistant to the GST and Program Coordinator as needed

·        Assist in Events/Conference Prep (materials, supplies, preparation of binders etc.)

·        Process invoices, and collect receipts for the department as necessary

·        Performs other duties as required to support the department and its mission.

 

Skills & Qualifications:

§  High School Diploma

§ Administrative support work experience or a combination of education and experience that would provide for the following knowledge, skills,     and abilities:

§  Excellent oral and written communication skills

§  Excellent attention to detail

§  Excellent analytical skills

§  Ability to learn new systems and adapt to changing priorities

§  Ability to manage multiple tasks simultaneously

§  Highly proficient in Microsoft Office Suite

§  Proficient in relevant technical software, such as iMIS and/or other database software

§  Embraces teamwork

 

Physical Requirements:

·        Work is performed in an office setting.  Hours of work: 9:00 a.m. - 4:30 p.m., Monday through Friday.  Some overtime and travel may be           required. 

·        Regular attendance during regularly scheduled business hours is required.

 

Must be available and subject to in-person supervision during working hours and in-person interaction with co-workers and supervisors.
