Our company is looking for an enthusiastic, confident, and energetic person to work full-time as an office assistant and receptionist to help with the organizations daily administrative operations of the company.
The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. Prior experience working in an IT office preferred.
Maintains office operations by receiving and distributing communications, supplies and equipment to all aspects of operations and sales.
Field and process incoming calls by receiving and distributing communications.
General office tasks such as filing, faxing, scanning, preparation of mailers and typing. Scanning and processing all mailing correspondence and information.
Providing quality customer service to any existing or potential customers via the phone; answering questions; forwarding messages; confirming customer orders; keeping customers informed of order status
Order Processing - Maintains supplies and equipment by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt of orders; stocking items; delivering orders to operations.
Maintains office by completing preventive maintenance; troubleshooting failures; calling for repairs; monitoring equipment operation and reporting malfunctions to proper channels.
Supports sales by helping source equipment for orders and preparing proposals.
May be required to pick-up and deliver items as needed.
Place calls to on-site technicians/project assigned technicians to get daily recaps on what each technician accomplished during the day, what are the next steps, recommendation on replacing hardware if needed, etc., this information will then be shared with the Project Managers.
Perform other general office clerk duties and errands as assigned.
Track information utilizing IGI Zone.
Skills/Qualifications: Previous IT Office Experience - General, Scheduling, Telephone Skills, Typing , Documentation Skills, Meeting Planning, Verbal Communication, Written Communication, Dependability, Attention to Detail, Administrative Writing Skills.
Minimum Education and Experience Requirements:
High school diploma and a minimum of two years of administrative experience. Previous experience in an IT office preferred.
